POSITION TITLE: Scheduling and Front Desk Assistant

SALARY RANGE: $38k – 40k

SUPERVISOR: Scheduling and Clinic Manager

POSITION SUMMARY

We are looking for a pleasant and welcoming Scheduling and Front Desk Assistant to undertake all receptionist and clerical duties at the desk of our main Health Center entrance. The Scheduling and Front Desk Assistant will be the “face” of the center for all visitors and will be responsible for the first impression we make. The ideal candidate will have a friendly, caring, and easy-going personality while also being very perceptive and disciplined. Can deal with complaints and work a complex schedule while giving accurate information during a busy and fast-moving atmosphere. A customer-oriented approach is essential. The goal is to make guests and visitors feel comfortable and valued.

JOB DETAILS

WORK HOURS: Full-time. 40 Hours per week. 8:30 a.m. to 5:30 p.m. M – F. These hours include a 1-hour lunch break.

*Some nights and weekends may be requested for extraordinary events, community outreach, and/or integrative therapy services; however, these dates will be communicated and agreed upon with prior notice.

PERSONAL TIME OFF/BENEFITS: Unlimited Paid Time Off with approval from supervisor is available after 45 days of employment. Employees will have paid holidays when the Chanda Center for Health office is closed, which includes Memorial Day, Labor Day, Juneteenth, 4thof July, Thanksgiving Day, day after Thanksgiving and an entire week at the end of the year for holiday celebration. After one full year of employment, employees will be eligible for 401K. Other benefits included such as short-term and long-term disability. The Chanda Center for Health does not provide health insurance.

WORKPLACE:

Onsite full-time at the Chanda Center for Health (1630 Carr Street, Lakewood, CO 80214) during work hours. *It is important to be accessible on-site consistently to support providers and participants.

WORKING ENVIRONMENT/PHYSICAL ACTIVITIES:

  • Periods of sitting.
  • Close proximity to the computer terminal.
  • Functional physical demands include manual dexterity, fine motor skills and reaching. The following senses will be needed for essential duties of the job: speech and hearing.
  • Fast-paced, challenging, and stressful work environment.
  • Assist providers with transfers of participants. Must be able to lift 50lbs.
  • Assist staff and participants with personal needs (i.e. prep food, empty urine bag, etc.).

INTERRELATIONSHIPS: Consultants/contractors, integrative care providers, all staff, participants and families, case manager/care coordinator, and community partners (Jefferson Center for Behavioral Health, Thrive! Therapy & Ancillary Visiting Services) personnel.

ESSENTIAL DUTIES AND RESPONSIBILITIES

DAILY

  • Primary person (with oversight from Scheduling & Clinic Manager) to answer phones and direct calls, voicemails, emails, text messages and mail (sort and distribute daily mail) inquires to the Chanda Plan Foundation and/or Chanda Center for Health and responding accordingly or forwarding to the appropriate staff member
  • Primary person for greeting incoming participants and ensuring all enrollment paper was complete with care coordinator.
  • Primary person to welcome and interact with providers, participants of our programs, caregivers, and all visitors per the scope of position.
  • Update participant information (changes to address, telephone numbers, insurance etc.) within EHR upon need.
  • Monitor and adjust daily/upcoming schedules to accommodate cancellations, last-minute requests, and gaps in the schedule, as appropriate at the center, home visits and satellite locations.
  • Review in-take paperwork for proper completion, update EHR participant profile and add any flags necessary.
  • Assist with participant/provider document and email preparation including proofreading, formatting etc.
  • Maintain cleanliness of the front desk, tea bar area, provider/staff lounge, lobby, and bathrooms (make sure all areas are stocked as needed)
  • Work cooperatively and collaboratively with all staff.
  • Positive and proactive attitude toward participants, providers, and staff.
  • Collect payments for service and service gift certificates, etc.

WEEKLY

  • Maintain participant schedules, cancelations, and room availability
  • Check supplies in treatment rooms, lobby, provider kitchen, tea bar and bathrooms for cleaning and household supplies

ANNUALLY

  • Update Scheduling and Front Desk responsibilities list
  • Send annual forms to participants and inquire about changes in personal contact information via EHR

OTHER DUTIES/RESPONSIBILITIES AS NEEDED

  • Business machines upkeep and maintenance.
  • Furthers the mission of the organization through active support of the strategic goals.
  • Maintains the environment of the area to promote and support healing.
  • Special projects as assigned.

QUALIFICATIONS AND SKILLS

  • High School Degree
  • At least two years working in an administrative position
  • Preferred: Experience working with adults with physical disabilities
  • Preferred: English and Spanish speaking
  • Preferred: Able to assist with providers transferring participants, able to lift 50lbs.

  • Excellent verbal and written communication skills and can easily build rapport.

Pay: $37,750.00 - $40,000.00 per year
