The Sales and Marketing Associate performs in two primary areas: move-in coordination in residential living, and as a sales representative. In the move-in coordinator role, the associate assures that the incoming process for new residents, and the internal moves for existing residents, is successful. In the sales representative role, the associate’s primary role is to support Emerald Heights and Emerald Communities goals by making sales, thus achieving the goals of the Marketing Department. She/he assists in providing tours, makes sales and completes resident documents as necessary. The Marketing Associate works collaboratively with the Marketing Coordinator for clerical support but is primarily self-sufficient with clerical and administrative needs. From time to time, the Marketing Associate may be expected to provide sales and move-in support to other organizations within Emerald Communities.
Base Salary is $59,000 with commission and bonus potential up to $50,000 annually.

Matching begins the first of the quarter following 1 year of employment. Full-time employees are eligible to accrue up to 16 paid time off days, 6 paid holidays and 3 personal days. Pro-rated paid time off is available to part-time employees.

Primary Responsibilities:
  • Recommends and implement approved program that provides a smooth transition for incoming residents, coordinating with future residents and families, movers and Emerald Heights’ staff.
  • Verifies receipt of medical and financial approval forms; distributes to appropriate staff for review and approval prior to move-in.
  • Coordinates communication regarding residential apartment/cottage renovations for move-in. Helps residents through selection and design process. Works closely with facilities and environmental services staff to ensure apartment is ready on move-in day.
  • Prepares entrance fee and first monthly service fee statements, establishes legal date of residency, and receives payment in advance of move-in.
  • Issues keys to apartment/mailbox/entry doors to residents at time of entrance fee payment.
  • Personally visits with residents on day of move-in or soon thereafter.
  • Communicates any concerns from new residents to Director of Resident Services.
  • Keeps accurate record of resident move-ins.
  • Manages inquiry calls, leads follow-up, appointment generation and prospect tours.
  • Interpret resident contract documents to prospects.
  • Track telephone, e-mail and appointment activity as a means of monitoring effectiveness of marketing programs.
  • Understand and interpret Emerald Heights’ policies to prospects and residents.
  • Comply with Emerald Heights’ policies.
  • Ensure all cancellations are followed up and handled properly.
  • Seek out appropriate professional networking opportunities as a means to increase awareness of Emerald Heights.
  • Maintain accurate records on prospects leads, activity, enters new resident information into data base and sales records.
  • Participate in marketing strategy planning meetings as requested.
  • Participate in staff meetings and resident functions as appropriate and requested.
  • Follow established move-in policies and procedures to ensure successful new resident move-in and in-house moves.
  • Prepares contract documents on sales made accurately, completely and in a timely manner.
  • Assists with open houses and special events.
  • Communicates the Emerald Heights’ life care program to prospective residents.
  • Processes residence applications, cancellations, transfers, etc.
Required Knowledge, Skills and Experience:
  • Must possess, as a minimum, a high school diploma.
  • At least two years’ experience in working with the public in face-to-face interaction and at least two years experience in sales/marketing, preferable with a senior adult population.
  • Experience with Microsoft Office: Word, Excel, PowerPoint & Outlook.
  • Professional demeanor.
  • Good judgment and decision-making skills.
  • Emotional stability, tact and understanding of social, psychological and emotional needs of residents.
  • Ability to maintain confidentiality.
  • Effective organizational skills.
  • Ability to deal with multiple priorities/demands.
  • Ability to learn and troubleshoot other computer software programs as needed (i.e., REPS.)
  • Effective oral and written communication in English.
  • Regular, predictable and dependable attendance.
