Join our team! Leland Management is seeking a experienced Maintenance Supervisor for one of its communities in the Ocala area. The position is full-time Monday through Friday (weekends as necessary and on call) with great benefits.

SUMMARY DESCRIPTION

Under general direction of Board President and Assistant General Manager, organizes, monitors, and supervises facility maintenance/custodial operations; performs a variety of technical tasks relative to facility maintenance; delegates and oversees work of maintenance staff and maintains inventory of tools and supplies. The Supervisor is responsible for tracking repairs that may affect the budget.

GENERAL JOB FUNCTIONS

1. The following duties are typical. Staff may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

2. Management has the right to add or change these duties of the position at any time.

3. Plan, prioritize, assign, supervise, review, and participate in the work of staff responsible for facility maintenance.

4. Assist Management with coordination of association projects, to include vendor scheduling and proper vetting, bid seeking and onsite project management.

5. Establish schedules and methods for providing facility maintenance services; identify resource needs; review needs with appropriate management staff; allocate resources accordingly.

6. Develop and organize preventative maintenance and safety inspection programs for facilities and equipment.

7. Maintain daily/weekly status reports of all maintenance items, using our internal software system.

8. Maintain awareness of trends and developments in the field of facility maintenance; incorporate new developments as appropriate into programs.

9. Participate in the facility maintenance budget by submitting recommendations; monitoring expenditures; and submit justifications for equipment.

MAJOR JOB DUTIES AND RESPONSIBILITIES

1. Oversee all common area/building/Arbor maintenance.

2. Responsible for the cleanliness, repairs, and maintenance for the insides and exterior of all common areas.

3. Ensure a preventative maintenance program (daily/weekly, monthly/quarterly/annually) is being followed.

4. Create work orders for all maintenance items, using our internal software system. If possible, pictures should be taken with all work orders. Specifically, before/after.

5. Perform quality control inspection of all staff completed work orders, closing workorder in the system.

6. Assist maintenance staff with daily weekly and monthly duties.

7. Complete minor repairs to buildings, gates and other HOA facilities and property. Repairs that cannot be completed by staff shall be contracted out to an approved vendor.

8. Responsible for minor maintenance and repairs on association equipment and utility carts.

9. Coordinate with contractors in providing contract services, if needed.

10. Drive maintenance carts on premises safely and slowly.

11. Monitor and control supplies and equipment; Provide Management with list of supplies and tools to be ordered as necessary.

12. On a monthly basis, prepare a maintenance report to be given to Management (by the 10th of each month), that includes number of service request/work orders issues, number of open work orders/request, types of request, special projects completed, and any other pertinent information.

13. Coordinate weekly meetings with maintenance staff to review current, pending, and upcoming maintenance projects.

14. Attend HOA office staff meetings, to stay apprised of all community events, pertinent to maintenance.

15. Check weekly calendar schedule to coordinate event set up with staff.

16. Scheduling of the following services:

a. AED Equipment Inspection - Monthly

b. Fire extinguisher inspection – Annually

c. Backflow and Pump Station maintenance and inspection, per contract

d. Fire Alarm Inspections - Annually

Requirements:

Skills & Qualifications:

  • High school graduate or its equivalency.
  • Minimum of 2 years of experience, working in a similar role.
  • Maintenance facility operations, and staff supervisory experience.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Basic computer functions and operations
  • Possession of an appropriate, valid driver's license and proof of current auto insurance.
  • Public speaking skills are essential along with the ability to exchange and receive information through written and oral communications.

Knowledge Of:

  • Operations, services, and activities of a building maintenance, repair, and construction program.
  • Materials, methods, terminology, equipment, and tools used in the maintenance, repair, and construction of building structures and systems including those used in performing rough and finished carpentry, plumbing, heating, electrical, mechanical, and painting work.
  • Supervision and staff training.
  • Use of power equipment, tools and materials used in facility maintenance activities.
  • Principles and practices of safety management.

Ability To:

  • Read and understand construction drawings, plans and specifications is desired but not required.
  • Organize, implement, and direct facility maintenance operations/activities, supervise and train assigned staff.
  • Interpret and explain pertinent policies and procedures.
  • Perform the most complex maintenance duties and operate related equipment.
  • Demonstrate tact and diplomacy with the public.
  • Develop and recommend systems and procedures related to assigned operations.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted during work.
