The Northeast Region of the Department of Natural Resources is looking for a positive team member to join our team in Colville, WA as our HR Assistant. The HR assistant plays a valuable role to our HR Consultant by helping with the coordination of all aspects of the hiring process, organizing and checking completeness of all new hire documents, maintaining personnel files, etc. Compassionate communication will be key as the HR Assistant will be responsible to use both verbal and written communication styles to connect daily with region staff, as well as with other HR Program members and programs across the agency.

Our ideal candidate will have a background in Human Resources, or a Human Resources related field, to include knowledge of Washington State Labor and Industry laws and OSHA, and/or has a familiarity with health insurance benefits, retirement systems, life insurance, etc. This position will be the main point of contact for staff to ask questions about their health benefits, L&I claims and agency injury reporting procedures. This position has the responsibility to provide our Northeast Region staff and supervisors with outstanding customer service with the ability to maintain high levels of confidentiality.

Duties

Responsibilities:
HR Support/Personnel Actions

  • Assists the HR Consultant with the coordination of all aspects of the hiring process
  • Organize and check completeness of all new hire documents.
  • Provide employee orientation information, ensure all documentation is collected, forwarded and filed timely and in accordance with agency policy and record retention schedules.
  • Maintain all personnel related files and personnel action tracking.
  • Maintains computer database programs for the region HR Program
Washington State Labor and Industry Claims, OSHA and Initial Incident Reports (IIR)
  • Support region employees by handling inquiries from L&I and explaining L&I processes to employees for all workplace injuries.
  • Responsible for compiling historical Labor and Industry accident information for Northeast Region to be used by higher levels of management and the region’s Safety Committee.
  • Tracking and maintaining region Initial Incident Reports (IIR) by ensuring all signatures and appropriate documentation have been received and following up with supervisors when documentation is needed.
Region Benefits Specialist
  • Determines benefit eligibility using PEBB guidelines.
  • Responsible for gathering all benefit enrollment forms and follow up for eligible employees.
  • Responsible to enroll employees into all benefits systems, PEBB, MetLife, LTD, DRS, etc. and for ending employee benefits enrollment at time of separation.
  • Develops and maintains employee benefits files, tracks pending insurance requests/changes, and keeps employees informed of status.

Qualifications

Required Qualifications:

  • High School Diploma or equivalent
  • Four years of office experience including one year experience in a human resource or related setting or equivalent education/experience.
  • Proficient computer skills in MS Word, MS Excel, and MS Outlook with an aptitude for learning new software as needed
  • Demonstrated experience maintaining confidentiality and using discretion when handling sensitive information.
  • Experience entering and/or retrieving data from human resource information or other computerized recordkeeping system.

Special Requirements and Conditions of Employment :
  • The standard work week is Monday through Friday, 0800-1630. Position will flex hours in the work week to maintain a 40 hour work week with approval from supervisor.
Desired Qualifications:
  • Bachelor’s degree in Human Resources or combination of education and equivalent experience. Demonstrated knowledge of current Human Resources, and Labor & Industry procedures and policies and OSHA Reporting.
  • Ability to interpret department programs, policies, procedures, laws and regulations.
