Come work for a growing financial services company with opportunities for advancement. We are seeking an administrative assistant to play a vital role on our Business Development & Enrichment team. We need an energetic team player who is great at multitasking and keeping salespeople organized. Attention to detail and the ability to follow through are extremely important. We have big goals for growth, and we need someone to take on important administrative tasks so our salespeople can spend more time signing new partners.

The ideal candidate would also be skilled at event planning, which could include picking locations, negotiating contracts, ordering food, setting presentation schedules, and communicating with vendors and sponsors. While this isn't a sales position, the administrative assistant would be expected to be comfortable making phone calls to people at all levels of an organization for the sake of coordinating meetings or events.

The Business Development Coordinator will also support the marketing team in creating, scheduling, and posting to multiple social media channels managed by the company. Experience with social tools such as Facebook, LinkedIn, Hootsuite, Canva, or Adobe Express is preferred, but not required.

The ideal candidate must be able to effectively communicate verbally and in writing. Creativity is encouraged on this team, and a willingness to share innovative ideas to help the team achieve its goals is important.

Responsibilities:

  • Work with the Business Development Team to plan, manage and follow-up on sales and recruiting calls using Salesforce CRM.
  • Assist team as a dedicated resource to help enhance sales efforts through presentations, activities, and techniques.
  • Research and stay well informed of trends in the investment services and financial institution industries and competitors.
  • Assist marketing team in managing social media pages, including developing and posting content.
  • Assist Director of Recruitment in writing job postings and communicating with financial advisor candidates.
  • Maintain creative thinking with the ability to expand upon business opportunities.
  • Support and assist with the implementation of sales and marketing resources and strategies.
  • Navigate queries or requests from customers/clients, as necessary.
  • Schedule appointments, organize meetings, and coordinate conferences, as necessary.
  • Book travel arrangements
  • Attend meetings and other functions necessary to perform duties and promote organizational development.
  • Prepare correspondence and documents.
  • Handle confidential and non-routine information and explain policies when necessary.
  • Perform other duties as assigned or required.

Required Skills/Qualifications:

  • Excellent presentation, communication, and listening skills.
  • Proven experience as an administrative assistant or office admin assistant
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Experience using Salesforce CRM is a plus. The ability to learn it and use it proficiently is required.
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational skills with the ability to multi-task
  • Working knowledge of office equipment, like printers and fax machines
  • High School degree required; Higher education is a plus
  • 2 years of experience in an administrative assistant or secretary will be a plus
