Cleveland Metroparks Zoo is seeking an Animal Registrar 1 to work in conjunction with the Animal Registrar 2, Animal Keepers, Curators, Conservation and Science and Veterinary Programs teams. The Animal Registrar 1 position will be responsible for managing electronic and paper records. The position requires a high level of data entry with the responsibility for validating the quality and accuracy of recorded data of the zoo's animal records database. The position also serves as a liaison to other zoological institutions, conservation organizations and government agencies. Duties of the position includes creating and maintaining electronic and paper records; assist team members with animal welfare documentation; assist in coordinating animal transactions, including transport logistics, preparing State, Federal and International permits as needed; completing annual inventories; and managing loans. These records and permits are required for Association of Zoos and Aquariums (AZA) accreditation and compliance with wildlife laws and regulations.

Essential Functions:

  • Regular and predictable attendance is expected and required. All Cleveland Metroparks employees must be prepared to work flexible schedules, including evenings, weekends, and/or holidays as required.
  • Records daily husbandry activity and health monitoring concerns of the zoo's animal collection: Enters data Keeper's Daily Reports into Zoological Information Management System (ZIMS) and Animal Record Keeping System (ARKS) within 48 hours of real time for up-to-date data; contacts the area Associate Curator(s) to notify them of any missing reports.
  • Assists with the various responsibilities of the Animal Registrar II position as needed: Stays involved in the decision making/management aspects, in regards to animal record keeping and animal shipments. Assists the Animal Registrar II in the preparation of animal shipping materials, completing health certificates, and calling various state veterinarian offices to inquire if permits are necessary to import animals into their state.
  • Prepares Loan Agreements for Cleveland Metroparks Zoo (CMZ) owned animals and preparation of Loan Agreements for animals owned by other institutions as needed: Ensures agreement and signatures of all parties is received; monitors Loan Agreements for compliance with annual loan updates; maintains Loan Agreement files, electronically and hard copy; produces reports on all animals that are IN and OUT on loan and disseminates to Curators and Veterinary staff for animal management.
  • Completes various annual reports and permit renewals as required: Completes the USDA Class C Exhibitors license Annual report and renewal, USFWS Migratory Bird Depredation Annual report and renewal, and the Annual report and permit renewal as required for USFWS Eagle Exhibitor permit under the direction of the Animal Registrar II.
  • Updates and maintains the animal transportation and water quality information in preparation for unannounced inspections of Zoo facilities by the United States Department of Agriculture (USDA): maintains animal transaction files, water quality results, and daily report log in preparation for unannounced USDA inspections; reviews animal transactions and compile the necessary information requested by USDA inspectors in preparation for random inspections.
  • Prepares and disseminates loan update questionnaires to all holders of CMZ animals and confirms the status of such animals and loans: Maintains updates in individual ZIMS records and Loan files; responds to Loan updates for animals loaned to CMZ after reviewing our individual animal data; receives additional data and approval from Animal Registrar II and Animal Curators; updates the ZIMS program and notifies Animal Curators if the animal is still located at their institution, if they are in a breeding situation, and if any offspring have been produced; files this information in the animal's loan file.
  • Requests Invoices for various shipping and freight charges, monitors and tracks all animal sales, shipping expenses, and crate returns as requested: Requests invoices be sent to institutions for the reimbursement of cost of the shipments of animals; requests invoices for all animal sales and follows up on crate return charges as the Animal Curator staff advises of needs; creates a spread sheet to track and show the costs of reimbursement of funds to Cleveland Metroparks; follows up on receiving funds when necessary.
  • Keeps direct supervisor promptly informed of key/significant issues or concerns.
  • Carries out duties and responsibilities in a safe and efficient manner to maintain a safe work environment and surrounding area for oneself, co-workers and public. Responds to hazardous situations and/or potentially unsafe conditions by taking corrective action as capable and promptly notifying supervisory personnel.
  • Updates and enhances own knowledge by involvement in continuing education for professional growth (i.e., attends relevant conferences, seminars, in-service trainings, and certification programs)
  • Performs related duties as assigned or apparent.

Requirements:
  • Bachelor's Degree in animal science or a related field required. Minimum of two years of experience in medical terminology, or animal record keeping; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Credentials, Licenses and Certifications
  • Must possess a valid driver's license under the laws of the State of Ohio. AZA Accreditation and ZIMS Training preferred but not required.
