Key Responsibilities

  • Accountable for overall health of the supplier relationship as it pertains to payment and reconciling statements of account
  • Meet key metrics established for Accounts Payable Department
  • Process a large volume of invoices for payment received via email, fax, or mail
  • Ensure that all Procure to Pay processes are followed
  • Ensure invoices are properly authorized with Approved Expense Purchase Order or Material Purchase Order
  • Ensure all signatures of associates are as prescribed in the “Delegation of Authority” where PO is absent
  • Verify invoice GL coding is correct
  • Process debit and credit memos (research & adjust if necessary)
  • Maintain Open Receipts to less than 90 days
  • Process Cash Disbursements weekly
  • Ensure cash disbursement type (check, credit card, ACH etc.) are accurate current
  • Work with General Accounting Manager to ensure Cash Management requirements are met per Corporate, AP Forecast or other internal directives
  • Ensure all available A/P discounts are taken
  • Maintain AP check positive pay bank exceptions
  • Maintain self-assessed sales and use tax invoices for TN and KY for accounting
  • Provide expense invoices to accounting and finance for month end accruals
  • Maintain month-end AP Aging, Open Receipts, other reports
  • Participate with system updates and improvements
  • Miscellaneous duties as assigned

IV. Relationships

This position reports to the Accounting Manager. Incumbent will interface Hennessy’s Suppliers, Customer Service, Sales, Marketing, Engineering, Operations, IT, Canada facility, and HR.


Measurements of Performance

Timely vouchering, Number of adjustments / corrections, Number of Void checks, Open receipts less than 90 days, workstation sustained at 5-S standards.

Background and Skill

  • Associate degree or equivalent combination of education and experience preferred
  • Minimum 2 years accounts payable experience
  • Demonstrate and maintain high attention to detail and accuracy
  • Accurate data entry skills (alpha-numeric) and ten-key
  • Proficient keyboarding skills
  • Adaptability to learning new tasks
  • Must communicate effectively with all departments and suppliers
  • Experience with AS400, PRMS Plus
