Job description
The WIC Administrative Assistant is accountable directly to the WIC Director. This position supports the WIC program and participants by answering phones, gathering eligibility information, scheduling appointments, and supporting smooth WIC clinic flow. This position complies with all WIC program requirements and ensures that all WIC participants receive excellent customer service. This is a full-time position.

Highlighted Duties and Responsibilities:
  • Responsible for WIC Program supporting including answering phones, scheduling appointments, updating demographic data and responding to request for information.
  • Collects and records demographic, financial and health data, as required to determine eligibility of clients
  • Educates applicants regarding their rights and responsibilities, including the food delivery system, WIC foods, certification schedule, and assists with group education activities as needed
  • Maintains WIC certification and related files, benefit card inventories, and other materials to assure accountability
  • Ensures confidentiality of WIC data and protects WIC information systems against unauthorized access
  • Performs necessary paperwork, as assigned, including maintaining participant files and accurate documentation.
  • Maintains partial access to the Service Site module within HANDS system and utilizes the system according to program guidelines.
  • Educates applicants regarding their rights and responsibilities, including the food delivery system, WIC foods, certification schedule, and assists with group education activities as needed
  • Distributes WIC food benefit cards and records this information as required
  • Assists with coordination of WIC services, including breastfeeding promotion and support, making referrals as warranted and helping with outreach activities
  • Assists in resolving routine problems presented by participants and in correcting and resolving certification and caseload management reports
  • Completes other duties as assigned
Minimum Qualifications:
  • High school diploma or GED equivalency required.
  • Excellent time management and customer service skills required.
  • The ability to communicate clearly both orally and in writing required.
  • The ability to establish rapport with individuals and small groups
  • Familiarity with computer systems and/or data entry
  • All Health Staff must receive the required vaccinations. This includes annual flu and covid vaccines. Medical or religious exemptions may be requested.
