This position is to act as the primary receptionist for California Baptist University Yeager Center and Enrollment Services department by providing general information and assistance for all walk-ins, incoming phone calls, and incoming mail by performing the following duties:
Essential Duties and Responsibilities
Other duties may be assigned.
  • Welcomes and greets all walk-in visitors to the main California Baptist University Yeager Center entrance; directs visitors to the appropriate department or off-campus sites.
  • Serve as the main receptionist for the Enrollment Services Department greeting visitors and providing information and materials.
  • Present a positive and supportive image of California Baptist University.
  • Professionally answers and screens all incoming calls; ensure phone calls are redirected accordingly.
  • Greet all guests and visitors to CBU in a professional, friendly, and hospitable manner.
  • Answer general questions regarding the University and the Enrollment Service office.
  • Prepares outgoing mail and correspondence, including all acceptance packages for prospective students.
  • Schedule appointments for Enrollment Services staff by phone or in person.
  • Assist the Enrollment Services office in maintaining accurate departmental records, files, and appropriate databases.
  • Make copies of correspondence or other printed materials.
  • Assists the Visit and Events Coordinator on special projects for campus preview events.
  • Assists the Manager of Visit Programs with daily campus visitors, facilitating check-in for tours and communication of daily-visit agendas.
  • Coordinates the withdrawal and leave of absence forms for the University.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records.
Supervisory Responsibilities
This position could be responsible for assigning work and/or giving direction to part-time Student Workers in order to complete office work assignments.

  • Ability to provide excellent customer service when answering the telephone and for walk-in guests.
  • Skill in the use of personal computers and related software applications.

  • A thorough knowledge of Business English and arithmetic, general office methods, procedures, and practices.
  • Ability to plan, develop, and coordinate multiple projects.
  • Ability to read and write at a level appropriate to the duties of the position.
  • Strong interpersonal and communication skills, and the ability to work effectively with a diverse faculty, staff, student body and the community.
  • Strong organizational skills and detail-oriented.
  • Excellent telephone courtesy, knowledge, and experience.
  • Ability to create, compose, and edit written materials.
  • Ability to resolve customer complaints and concerns.
  • Ability to develop and maintain recordkeeping systems and procedures.
Education and/or Experience
High school diploma or general education degree (GED); and two to three years’ related experience and/or training; or equivalent combination of education and experience.
