POSITION: Staff Assistant

SCHEDULE : 8am-4pm, Monday-Friday (weekends off)

POSITION SUMMARY

Under the direct supervision of the Supervisor of Legal Records Specialist or other designated Wexford Health manager, responsible for the maintenance of inmate case records; organizes and maintains a system of files and records concerning inmate parole violation and evaluation reports, compiles documents relevant to Sexually Violent Persons Commitment Act; exercises good judgment, and functions independently.

DUTIES/RESPONSIBILITIES
  • Ensures confidentiality of offender records.
  • Enters master file and interview information into database.
  • Transmits Sexually Violent Persons Commitment Act Evaluation Checklist forms to IDOC records offices, State's Attorney's Offices, and the Attorney General's Office.
  • Delivers evaluation reports to the Attorney General's Office and State Attorney's Offices via mail.
  • Compiles parole violation reports and other offender information for review.
  • Makes copies of offender records as instructed by the Wexford Designated Manager.
  • Files records, documents, and reports.
  • Prepares and types designated portions of records to be included in evaluation reports.
  • Answers telephone, relays messages and transfers calls as appropriate.
  • Transfers offender records to James R. Thompson Center (JRTC) as directed by the Wexford Designated Manager.
  • Approaches change in a positive manner.
  • Makes suggestions for improving work conditions to the Wexford Designated Manager.
  • Accepts constructive advice/criticism and learns from it.
  • Maintains composure in stressful situations.
  • Maintains safe workplace and reports potential safety hazards to Wexford Designated Manager.
  • Performs other related duties as required or assigned.
  • Conforms to Wexford Health Sources, Inc., and facility regulations as appropriate, to include, but not be limited to:
  • Dress code
  • Schedule/time sheet
  • Safety and security regulations
  • Procedure for sick leave/vacation time/personal time
  • Adhere to Wexford Health Absenteeism Policy

The duties and responsibilities outlined herein are for payroll purposes only; employees may be assigned other duties as required.

ENVIRONMENTAL CONDITIONS

Standard office setting in a correctional facility or the JRTC. Temperature extremes may be encountered while moving throughout the facility outdoors and indoors in buildings without air conditioning.

Minimum Requirements:

The following requirements list the minimum to qualify. An equivalent combination of education and experience may be accepted.

TRAVEL: Moderate travel as directed by the Designated Wexford Manager.

LICENSING: None required.

MINIMAL QUALIFICATION: Successfully passes electronic testing for Word, Excel and Basic clerical duties.

OTHER PREFERRED KNOWLEDGE, SKILLS AND ABILITIES:
  • Strong verbal and written communication skills
  • Strong interpersonal skills
  • Demonstrated experience meeting multiple deadlines. Must ensure documents are ready for review well in advance of any deadline.
  • Ability to competently manage multiple priorities simultaneously
  • Ability to work in a stressful environment
  • Must be a "team-player" as this position requires daily coordination with other coworkers

EDUCATION: High school graduate or equivalent.
