Job Summary: Works with Foundation and Theater accounting and financial processes including, but not limited to: cash receipts; oil and gas; insurance; property; fine art collection; budgets; internal controls; payroll; financial reporting and general ledger analysis; and other general accounting duties.


Essential Duties and Responsibilities:


Cash Receipts

  • Receives and records cash receipts for oil and gas royalties and related payments.
  • Receives and records cash receipts for Foundation program revenue.
  • Receives and records cash receipts for Foundation donations and program sponsorships.
  • Records Theater ticket sales and donations.
  • Reviews and reconciles credit card processing and related transactions.
  • Produces and reviews monthly and quarterly cash receipts reports for the Foundation and Theater to help facilitate the issuance of timely month-end financial statements.

Oil and Gas

  • Serves as liaison between the Foundation and outside oil and gas consulting staff.
  • Reconciles oil and gas revenue booked during the year to 1099s received at year-end.
  • Gains an understanding of the Foundation’s current oil and gas leases in order to help project future lease production and ensure accuracy of revenue.

Insurance

  • Assists with annual renewals of property and liability insurance policies, including completion of insurance applications.
  • Assists with insurance claims and associated recoveries.
  • Ensures receipt of insurance policy renewals and electronic filing of said policies.
  • Maintains the master insurance spreadsheet and processes associated vouchers for payment.
  • Calculates and records prepaid insurance.

Property

  • Maintains master spreadsheet files for Foundation land and properties.
  • Ensures that property appraisals are performed timely.
  • Reviews annual property tax assessments for accuracy and processes associated vouchers for payment.

Fine Art Collection

  • Assists with fine art collection spot audits and the associated reporting.
  • Reconciles collections management system to the financial statements.
  • Reviews daily Museum vault and Stark House card access reports and investigates any irregularities.

Budgets

  • Prepares budget worksheets and related analysis.
  • Reviews, investigates, and provides analysis for monthly budget to actual variances for all Foundation departments as necessary.
  • Prepares budget information packages for budget meetings.

Lutcher Theater

  • Reviews Theater’s monthly trial balance and financial statements.
  • Reviews, investigates, and provides analysis for monthly budget to actual variances for Theater as necessary.
  • Assists in preparing Theater’s accrued financial statements for annual review engagement.
  • Prepares Theater Service Guild’s annual tax return.

Internal Controls

  • Assists with surprise audits of all Foundation cash drawers and petty cash funds.
  • Assists with and enforces all internal controls and best practices.
  • Assists with documenting and flowcharting Foundation processes and internal controls.

Payroll

  • Records biweekly payroll in the general ledger.
  • Serves as backup payroll processor.
  • Ensures that payroll processor enters all applicable employee information correctly into the payroll system.

General Accounting

  • Assists with ensuring that information recorded in the general ledger adheres to U.S. Treasury regulations and is in accordance with accounting principles generally accepted in the U.S.
  • Stays up to date on federal and state tax regulations for nonprofits, as well as accounting and financial statement preparation guidance for nonprofits.
  • Possesses knowledge and understanding of the different segments on the financial statements.
  • Assists Foundation venues with general ledger expense coding and training as necessary.
  • Serves as backup to Accounts Payable.
  • Reviews monthly and quarterly Accounts Payable reports for the Foundation and Theater to help facilitate the issuance of timely month-end financial statements.
  • Assists with the automation of accounting work processes.
  • Assists with all outside auditor requests for documentation, control narrative, etc.
  • Assists the Senior Accountant in continually improving the work efficiencies of the position.
  • Follows all Foundation policies and procedures.
  • Assists with other accounting projects and duties as necessary.

Supervisory Responsibilities: None
