    JOB SUMMARY
    Provides administrative support for the Guidance Counselors.

    Essential Duties and Responsibilities:
    • Serves as receptionist for the Guidance office by assisting guidance counselors, students and their parents, administrators, staff and the general public.
    • Greet and assist the general public, parents, teachers and students.
    • Answers multi-line phone system; directs calls and delivers messages to proper personnel/location.
    • Maintains and updates the Student Information System (SIS) from Student Data sheets and enrollment forms; verifies accuracy of information regarding residency, immunization, birth certificates and custodial information; creates student CA files, adding test data, grades, health information and photographs on a continual basis.
    • Maintains student immunization records using SIRS/MICR program to meet state requirements; makes contact for exclusion on non-compliance, records and sends weekly communicable disease reports.
    • Prepares reports required by the State.
    • Operates the Health room and administers medications so students as ordered by a physician.
    • Processes student records for high school promotion, transfers, and incoming sixth graders.
    • Assist as needed with SIS for attendance.
    • Assists with Honors Assembly information.
    • Performs other duties as assigned.
    • Regular and consistent attendance.
    • Must have knowledge of and comply with the policies and procedures contained in the Portage Public Schools Employee Handbook.



    Minimum Qualifications:
    • High School diploma
    • One year previous office experience
    • Highly skilled in organization, interpersonal communications and customer service
    • Ability to be flexible, manage time wisely, and complete job responsibilities with minimal instruction
    • Demonstrate proficiency and ability to operate a computer and related software (i.e. Microsoft Office, Google Apps)
    • Ability to maintain a high level of confidentiality
    • Ability to interpret instructions given in written or oral form
    • Ability to communicate clearly and concisely, both orally and in writing
    • Ability to define problems, collect, organize, and report data
    • Ability to perform duties with awareness of all district requirements and Board policies
    • Ability to perform complex program and operational support duties
    • Ability to speak and work effectively and positively with students, staff, and parents

    Preferred Qualifications
    • 1-3 years office experience
    • Associate Degree
