Position Summary

The Program Assistant is a grant-funded position and reports to the Site Coordinator, Program Manager, Community Schools Director and school Principal. Transforming lives through Arts, the School Fine & Performing Arts Community Engagement Program exists to enhance the College’s commitment to make itself a vital part of its community and to better prepare students to “author the culture of our time”, creating an infrastructure through which the College’s faculty, students, and administration can develop meaningful relationships with community residents. This position is available to artists of various disciplines, including dance, visual arts, graphic design, theater, film, photography, technology and arts integration.

Duties & Responsibilities

  • Maintain accurate daily documentation of student/participant attendance in the program; communicate immediately with the Coordinator regarding participants late arrival or absences.
  • Participate in all mandatory program meetings (i.e. orientation, curriculum development review, site based program planning/improvement meetings, professional development meetings).
  • Assist the Coordinator with information and documentation necessary for completion of program evaluation tasks, reports, publicity and program development needs.
  • Help troubleshoot and gather information; handle changes as needed.
  • Assist with the continued effort to link Columbia College students and alumni with programming.
  • Perform administrative tasks while on site.
  • Support registration process and all outreach efforts to parents and students.
  • Process paperwork concerning student information, time sheets, ordering supplies, attendance, etc.
  • Communicate the needs of the program with the Coordinator (i.e. developments or any issues that affect program delivery).
  • Assist the Coordinator with culminating project/event with the partnering organization/school.
  • Build positive relationships with Teaching Artists, participants, and school staff.
  • Assist in recruitment and marketing efforts on-site to boost individual class enrollment, includingdeveloping program collateral/materials and helping with tabling and other in -person outreach. All students must sign Columbia College registration forms to participate in programming and to be counted as officially included in the programming.

Qualifications

  • Bachelor's Degree preferred.
  • One-year mentoring/volunteering experience in school or community based setting preferred.
  • Knowledge of Columbia College Chicago, Chicago Public Schools and Community based organizations.
  • Ability to stay organized, manage multiple tasks, meet and set deadlines within a complex team environment.
  • Ability to plan with teachers of different disciplines for events or multidisciplinary lessons.
  • Excellent written, verbal, and interpersonal skills.
  • Commitment to and interest in the arts, higher education and working with youth.
