Requirements

In order to be considered for the position of Office Manager at Foundation Academies, candidates must:

  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in Microsoft Office
  • Knowledge of data and administrative management practices and procedures
  • Knowledge of clerical practices and procedures
  • Computer skills and knowledge of office software packages
  • Pass the required criminal history background check and provide proof of U.S. citizenship or legal resident alien status.

Competencies and Responsibilities

Clear and Effective Communicator

  • Determines needs of stakeholders and provide accurate information or connect them with the appropriate stakeholder.
  • Handles stakeholder concerns and questions in a prompt and appropriate manner
  • Acts as a strong, positive day-to-day interface between Foundation Academies and the school community, representing our values, mission, and philosophy at all times

Administrative Responsibilities

  • Manage a school office and provide secretarial support to School Secretary and staff as required;
  • Maintain Principal's calendar, screen calls, receive visitors and respond to requests for information and assistance as appropriate.
  • Explain school procedures to parents, teachers, employees and the public
  • Maintain and troubleshoot office equipment as necessary
  • Independently respond to routine letters, emails, and general correspondence
  • Responsible for performing and/or delegating correct record keeping of student enrollment preparation and/or maintenance of the confidential student folder and all required records contained therein, verification of enrollment and health eligibility, and transfer or release of documentation
  • Maintain and update student emergency information, i.e. emergency cards, computer data and disaster preparedness
  • Maintain student attendance records, including preparation and verification of daily student attendance, entering enrollment information into the attendance system, preparing required attendance reports on a daily, weekly and monthly basis
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed and maintained, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored
  • Prepare transportation requests, calendars and answers questions about field trip activities
  • Maintain information on and answer questions regarding specific school programs, fundraisers and after school activities
  • Maintain site use of facilities, records and calendars for after school activities by community groups
  • Compose school wide communications, correspondence, and a variety of bulletins, newsletters, memos, emails, requisitions, forms and update the school master calendars
  • Point person for maintenance requests, mailing, shipping, supplies, equipment, and errands
  • Participate actively in the planning and execution of school and org.-wide events (i.e. Back to School, Parent Teacher Conferences, Staff Appreciation events)
  • Ensure security, integrity, and confidentiality of data
  • Design and implement office policies and procedures
  • Monitor and maintain office supplies inventory

Leadership

  • Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals, and reviewing industry publications.
  • Organize and provide training of new staff members, assign and monitor the work of staff, student helpers, and volunteers.
  • Handle parent/guardian complaints
  • Allocate tasks and assignments to School Secretary and monitor their performance
  • Perform review and analysis of special projects and keep Director of Operations properly informed
  • Ensure top performance of office staff by providing them adequate coaching and guidance
  • Oversee adherence to office policies and procedures
  • Review and approve office supply acquisitions
  • Maintain a safe, secure, and pleasant work environment

Your schedule will be Monday through Friday from 7:30am-4:15pm.

  • Hired candidates are responsible for the following: official transcripts, criminal clearance (fingerprinting), and medical clearance (TB/Mantoux testing) as required by NJDOE.
