WE ARE LOOKING FOR

A full-time (temp to hire, one month) Onboarding/Office Assistant to join our growing back-office team! We are looking for someone who has great communication skills, is highly organized, can work independently, and has a positive attitude!

WHAT IT TAKES

Education - High School Diploma, AA degree preferred

Teamwork – Exhibit objectively and openness to others’ views; give and welcome feedback; contribute to building a positive team spirit; put success of team above own interests.

Planning/organizing – Prioritize and plan work activities; use time efficiently; plan for additional resources; conserve organizational resources.

Computer skills – Have strong knowledge of computer operating systems.

Interpersonal skills – Keep emotions under control; remain open to others’ ideas and try new things. Show respect and sensitivity for cultural differences; promote a harassment-free environment.

Oral and written communication – Listen and get clarification; respond well to questions; participate in meetings; read and comprehend written and verbal instructions. Write clearly and informatively using correct grammar, spelling, and punctuation.

Professionalism – Approach others in a tactful manner; react well under pressure; treat others with respect and consideration regardless of their status or position; except responsibility of own actions; follow through on commitments. Dress and speak in a professional manner.

Quality – Demonstrate accuracy and thoroughness; look for ways to improve and promote quality; apply feedback to improve performance; monitor own work to ensure quality.

Attendance/Punctuality – Attend work consistently and on time; arrive at meetings and appointments on time.

While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, grasp or feel; reach with both hands and arms; push and pull, and talk, hear and smell. The employee is occasionally required to stoop, kneel, or crouch. Employee in this position may encounter prolong sitting and/or standing. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close to vision, distance vision, color vision and ability to adjust focus.

YOUR DAY TO DAY

➤ Create and send offer letters for each new onboarding employee

➤ Send out onboarding/welcome emails, new hire packets, handbook

➤ Accurately collect all documents submitted by onboarding employees

➤ Save all documents and forms received/file accordingly

➤ Track progress of onboarders via checklist

➤ Check in with onboarders during their onboarding process to assist with any questions or concerns via phone and email

➤ Collaborate and follow up with hiring managers and give them updates on the status of onboarding candidates

➤ Carefully inspect all documents and review forms received for any mistakes

➤ Complete employer section of the I-9 and related forms

➤ Notify hiring managers and trainers once onboarding candidates have completely cleared

➤ Input data collected by updating spreadsheets

➤ Make employee badges

➤ Office Tasks including scanning, filing, copying, shredding, restocking office supplies such as paper, coffee, etc., watering office plants, prepping and shipping out mail/packages/supplies for staff, tracking inventory

➤ Follow company policies and procedures as stated in the company handbook

➤ Regular work schedule 8:00am – 4:30pm (with 30-minute unpaid lunch break)

➤ Develop needed professional skills appropriate to job assignment

➤ Demonstrate behavior that is professional, ethical, and responsible

➤ All other duties fit for Onboarding/Office Assistant
