OFFICE ASSISTANT- Bozanian McGregor LLC

Full-Time Contract Employee- Primarily In Office

In this position you will play a critical role in keeping the office running efficiently and ensuring productivity in a positive, but fast paced environment.

We are a smaller boutique firm with great growth potential, so anyone who applies must have a positive attitude & be a team player. Candidates must be energetic, eager to learn, and flexible with evolving priorities/projects. You must be an extremely organized multitasker and proactive with suggested processes & best practices to increase office efficiencies.

Time management is essential as well as interpersonal communication skills.

Must have at least an Associate’s Degree.

Key Role:

  • Office and Partner Support, focusing on Guardianship and Estate case assistance. You will also have the opportunity to interface with all levels of Staff as well as various customers/clients. Good interpersonal skills are essential.

Key Responsibilities include:

  • Responsible for performing a range of clerical and administrative tasks, reporting to a key Partner in the Firm.
  • Partner Calendar Management and organization.
  • Maintaining weekly task lists to keep on top of outstanding issues and case status.
  • Assist in Deadline Adherence for identified cases/projects. Must clearly communicate regularly on anything outstanding in order to keep the cases/projects moving forward.
  • Organizing e-mails that pertain to each case file.
  • Attending new client intake calls (interviews) and certain case matters along with key Partner, taking extensive & comprehensive notes.
  • Sorting, scanning, and organizing mail for the office.
  • Attend Team Meetings and Individual Touch Bases to ensure seamless communication.
  • Computer savvy with the ability to implement best practices for tracking all case status and file organization.
  • Must be proficient in the following programs: Office Suite, including Word, Teams, and Excel. Training on LEAP legal platform will be essential.
  • Answering phones and fielding calls to the appropriate staff member.
  • Taking and keeping track of messages as needed.
  • Ability to run office errands including hand delivering files/reports, banking tasks, and filling in for Partner at any in-person home evaluations (as needed).
  • Billing organization & implementation.

Pay: From $20.00 per hour
