Position Overview

The Division of Family and Community Services is seeking to hire an office administrator to monitor activities of the Springfield File Unit staff in the maintenance of Client Case File Material. This position serves as a working supervisor; maintains security of mail, desk, active and closed files; performs timekeeping and payroll duties for staff at the Springfield File Unit; responds to staff requests for case records; locates files and sends to appropriate office as requested; and attends supervisory meetings regarding policies and procedures.

Job Responsibilities

  • Monitors activities of the Springfield File Unit staff in the maintenance of Client Case File Material.

  • Serves as a working supervisor.

  • Maintains security of mail, desk, active and closed files.

  • Performs timekeeping and payroll duties for staff at the Springfield File Unit.

  • Responds to staff requests for case records; locates files and sends to appropriate office as requested.

  • Attends supervisory meetings regarding policies and procedures.

  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of high school and two (2) years of office experience OR two (2) years of independent business experience.

  • Qualifying state employees, in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.

Preferred Qualifications

  • Two (2) years of professional supervisory experience assigning work, providing guidance to subordinates, training staff, approving time off, and preparing and signing performance evaluations.
  • Two (2) years of professional experience directing and supervising the work of clerical support office staff.
  • Two (2) years of professional experience utilizing program operations and policies for a human services organization.
  • Two (2) years of professional experience utilizing office procedures and programs for a public or private organization.
  • Two (2) years of professional experience working with business communications in person and automated.
  • One (1) year of professional experience operating manual and automated office equipment.

Conditions of Employment

  • Requires the ability to lift 50lbs with ability to stoop, bend, and lift arms above shoulder level.
