Established family-owned plumbing and heating company seeking a friendly, energetic, and self-motivated individual to join our staff located in Ardsley, NY. The Office Administrator is a full-time office position. Salary is based on experience.

Candidate must be professional, extremely organized, detail oriented, and able to work independently. This individual will oversee all office and administrative aspects of the business.

Responsibilities and Duties include, but are not limited to:

  • Preparation of Estimates/Invoices for Contractors/Customers in Quickbooks Pro Desktop.
  • All aspects of Accounts Receivables, which includes collection.
  • Responsible for the preparation of Quarterly Sales Tax Reports.
  • Management of customer/contractor jobs.
  • AIA billing.
  • Preparation of written communication to customers/clients/professional contacts.
  • Purchasing of office supplies/equipment.
  • Procure General Liability and Workers Comp certificates from subcontractors.
  • Submit Certificates of Insurance to customers/contractors.
  • Management of trade licenses and scheduling of continuing education classes.
  • Submit claim forms for workman’s comp and disability to insurance companies.

Qualifications and Skills:

  • Strong proficiency in QuickBooks and Microsoft Office (MS Word and Excel).
  • AIA billing experience.
  • Excellent math and accounting skills.
  • Detail oriented. Must be accurate with an extreme attention to detail.
  • Excellent written and verbal communication.
  • Ability to learn quickly and multi-task.
  • Strong organizational skills.
  • Must be able to work independently.
  • Problem solver.

General Requirements:

  • Performing all general office tasks, which includes office maintenance.
  • Management of appointments.
  • Create, manage, and organize filing system.
  • Excellent and accurate keyboard skills.

Job Type: Full-time

Salary: $25.00 - $30.00 per hour
