Position Summary: The Receptionist provides exemplary customer service to all patients and guest. This position is responsible for maintaining office efficiency and professionalism, coordinating with the rest of the team to provide timely turnaround for patients while responding to patient questions and concerns with a sense of urgency and kindness, both on the telephone and in person.

Position includes travel to our Toms River, Whiting, Jackson and Forked River locations.

Monday- Whiting 8-4

Tuesday- Jackson 8-4

Wed- Forked River 9-5

Thursday- Toms River 9-4

Friday- Toms River 8-3

Essential Accountabilities:

  • Patient Check-In/Check-Out Experience:

o Greets and welcomes patients/guests in a warm professional manner.

o Answers Phone calls in a prompt and polite manner.

o Follows established procedures for check-in by verifying insurance eligibility, demographics, referrals, payment and other required documentation.

o Follows established procedures for check-out by scheduling return visits and ensuring all required information is updated to patient chart.

o Collecting/logging of co-payments and self-pay transactions.

o Batch closing and verification of payments collected and credited to patient accounts.


  • General Office Functions:

o Ensures the reception area, waiting area and restrooms are clean, organized, clutter free and stocked with essential supplies.

o Reports all issues with location maintenance following established procedures.

o Maintains and orders supplies following established procedures.

o Maintains the functionality of all equipment, reporting any equipment issues promptly including Breeze Tablets.

o Receives and opens office mail following established distribution procedures.

o Receives deliveries and confirms receipt per established procedures.

o Completes pre-registration procedures for next days scheduled appointments following established procedures.


Education/Experience:

  • High School or GED required.
  • One year of experience in customer service and/or related clinical environment.
  • Working knowledge of medical terminology.
  • Bilingual in Spanish helpful.


Qualifications:

  • Knowledge of basic computer skills such as Microsoft Office Suite (Outlook, Work, Excel, etc.)
  • Ability to handle confidential and sensitive information.
  • Ability to communicate effectively on the telephone.
  • Familiarity with CareCloud or other CRM systems, a plus.
  • Excellent interpersonal communication skills.
  • Ability to relate to persons with diverse educational, socioeconomic, and ethnic backgrounds.
  • Quick thinker, problem solver and flexible.
  • Ability to exercise good judgment to handle calls appropriately.
  • Ability to demonstrate good customer service.

  • Position involves long periods of sitting, heavy data entry and heavy telephone work
