Position Purpose
To provide financial analysis and oversight for operating and program budgets for the Geisel School of Medicine’s portfolio of degree and non-degree granting education programs. Provides timely, collaborative, service-oriented support to local program administrators on all financial and personnel matters relevant to program implementation. Applies an understanding of the principles and practices of financial, grants, and personnel management to provide guidance in the accomplishment of financial and administrative activities.

Required Qualifications - Skills, Knowledge and Abilities
  • Bachelor’s degree with a major in accounting, business administration, or the equivalent combination of education and work experience.
  • 3-5 years relevant experience in accounting, financial administration, or operations management or equivalent.
  • Experience in not-for-profit accounting and grants management in an educational and/or research setting.
  • Excellent verbal and written communication and interpersonal skills, with attention to detail and accuracy.
  • Ability to work effectively, independently, and as a member of a team.
  • Ability to plan work, set priorities, and respond to pressures, deadlines, and changes in schedules and priorities.
  • Fluency in technological applications (e.g., Microsoft Excel, financial systems), spreadsheets, and other computer software, with willingness and ability to learn additional computer applications as needed.

Preferred Qualifications
  • Demonstrated experience financially managing complex budgets.
  • Proven ability to create advanced Excel spreadsheets.
  • Familiarity with Dartmouth accounting systems and procedures.

Description
Financial Administration
  • With limited guidance, develops, justifies, and administers budgets for operating accounts, gifts, grants, and reserves.
  • Monitors expenses and revenues for accounts, ensuring costs are properly allocated, processing corrections, anticipating fluctuations in funding, and providing regular status updates on actual and projected expenditures.
  • Reviews and approves invoices, purchase orders, and contractual agreements, ensuring adherence to policies and budgets.
  • Participates in annual operating budgeting, quarterly projection updates and year-end closing processes, with an ability to anticipate, track and communicate changes throughout the year.
  • Supports investigators, including students, in preparing proposals to funding sources, including development of budgets for proposal submission, ensuring completion of all sponsor and College administrative requirements, and submitting electronic proposal materials.
  • Makes recommendations to faculty, staff, and students to adhere to College and grant funder policies and address funding fluctuations.
  • Ensures compliance with College and granting agency policies, interpreting policies in collaboration with Geisel Medical School and the Office of Sponsored Projects.
  • Interacts with representatives of Dartmouth College, Geisel, Dartmouth-Hitchcock, other academic institutions, and funding agencies to provide information requested, seek clarification of requirements, and collaborate on financial issues.
  • Trains and coaches others on financial activities and policies.

Description
Personnel Management
  • Guides hiring managers through processes for hiring and paying staff and faculty.
  • Develops, maintains, and monitors personnel funding levels based on budget, prepares and processes FTE distributions, maintains projections on personnel support, communicates in advance of potential funding shortfalls, and initiates changes as necessary.
  • Supports the annual process for updating, implementing, and communicating FTE for teaching faculty.
  • In collaboration with the Associate Director, establishes purchase services agreements for affiliated-entity faculty, communicates FTE, ensures the establishment of agreements and billing, and manages ongoing adjustments to agreements.
