Overview:
The Milwaukee office is seeking a Trademark Assistant (Intellectual Property) to provide executive legal assistance to attorneys and/or paraprofessionals in the daily operation of the Intellectual Property law department by providing quality work product for clients. In this role, you will assist the department in acquiring, protecting and maintaining trademark rights in US and foreign jurisdictions by fulfilling executive assistant duties and the performance of complex secretarial and clerical tasks to produce documents and meet requirements of the trademark process, using the firm standard word processing and other applicable software.
Responsibilities:
  • Review and clear attorney docket; communicate and follow-up on pending deadlines
  • Attorney bill draft review and preparation; communicate with attorneys and billing coordinators as necessary
  • Daily time entry for attorneys in CD Time Entry
  • Assist attorneys by providing executive level administrative assistance through the performance of complex secretarial and clerical duties including: meeting planning and coordination, client communication, and scheduling, etc.
  • Draft and complete documents/paperwork supporting Trademark prosecution by accurately and promptly completing necessary forms, documentation and other administrative tasks
  • Submit conflicts check(s) and new client matter information through OPEN; prepare engagement letters and assist with client billing as required
  • Communicates relevant bar dates, priority information, working attorney and paralegal information to Docketing
  • Schedule appointments and make arrangements for conferences and travel; maintain attorney's calendar and contacts
  • Create, organize and maintain electronic client files, follow up on pending matters
  • Set up meetings as requested, ensuring all required materials are organized in advance and greet clients/guests as necessary
  • Interact professionally and promptly with clients and internal parties by reporting information and responding to questions appropriately
Qualifications:
  • High School Diploma or GED required; Associate's Degree or Bachelor's Degree preferred
  • Proficient in the use of Microsoft Word, Outlook, PowerPoint and Excel
  • Excellent typing ability of at least 65 words per minute
  • Prior experience working in a legal setting preferred
