Position Title: Inventory Systems Coordinator

Reports To: Assistant Operations Manager - Support

Status: Non-Exempt

Job Summary

Coordinate daily activities of inventory clerks processing inbound production. Perform and oversee inventory reconciliations, to ensure accurate inventory records in order to prepare daily reports for use by Operations team and customers.

Special Qualifications, Education or Licenses:

Minimum educational requirements from an accredited college or university include:

  • Bachelor of Arts or Science degree, and/or
  • Equivalent Experience and Skills in a Related Industry.
  • Three (3) plus years of inventory control experience.
  • Work experience in a warehouse environment a plus.
  • Computer proficiency using MS Word, as well as extensive Excel experience.
  • Working knowledge of database management systems, including AS400, SAP, and server support operations.

Essential Job Requirements:

  • Ability to read and write legibly.
  • Ability to count and perform complex mathematical calculations accurately.
  • Ability to learn to operate and support various database management systems, including AS400, SAP and various network servers.
  • Ability to sit for extended periods of time, using repetitive movements, in a temperature controlled and moderately noisy work environment.
  • Ability to communicate effectively with internal and external customers and suppliers, both orally and in writing.
  • Ability to compose a coherent, grammatically correct letter and speak clearly, in English, with good grammar.
  • Ability to be flexible and remain courteous and professional while managing the stress of meeting deadlines and achieving production goals, dealing with interruptions, interference, lack of cooperation, and/or errors of customers.
  • Ability to pay attention to the details, produce accurate and timely results, and maintain concentration on the task at hand, while juggling multiple assignments, ignoring distractions from office noise and other workers in close proximity.
  • Ability to operate a computer terminal, computer printer, typewriter, calculator, facsimile machine, copier, and telephone.
  • Ability to move freely about an office to access materials and use equipment.
  • Ability to perform correctly from memory and create complicated procedures after a suitable period of training.
  • Ability to maintain stamina and productivity throughout an eight (8) hour work day and work overtime as required.
  • Ability to maintain regular and punctual attendance. Absenteeism, tardiness, and the inability to complete an entire shift are grave and unacceptable disruptions to our Company’s ability to service our customers.
  • Ability to initiate and maintain interpersonal contacts, including with people who may be hostile or impatient, and respond in a positive and professional manner to feedback from customers and coworkers alike.
  • Ability to reason, remember, and observe.

Job Responsibilities:

  • Coordinate daily functions of Company inventory clerks and work with Management to resolve Company inventory system issues.
  • Effectively operate Company and customer computer hardware and software to maintain accurate and organized records of inventory and shipments.
  • Reconcile inventories to book records and make adjustments when necessary.
  • Assist management in troubleshooting system issues as they arise.
  • Participate in Company annual physical inventories and work with Management to reconcile audit.
  • Develop all necessary reports and documentation to facilitate accurate inventory counts including records of all audits, counts and adjustments.
  • Complete and issue all necessary reports, including reports to Accounts Receivable and maintaining customer account records in a timely and accurate manner.
  • Enter inbound shipments into the warehouse management system as needed and ensure inventory clerks complete assigned tasks accurately and timely.
  • Generate reports from computer records as needed.
  • Respond timely to internal and external customer and supplier inquiries.
  • Maintain excellent working relationships with internal and external customers keeping lines of communication open and sharing feedback with management, including reporting signs of customer dissatisfaction.
  • Maintain up-to-date knowledge of warehouse management systems and technology innovations in order to analyze systems, as well as Company and customer needs, to identify and recommend improvements and enhancements to current systems.
  • Meet or exceed production goals while upholding the Company’s “Every Order Perfect” philosophy and ensuring “Zero Defects” in support of our Quality Program.
  • Perform other duties as may be assigned from time to time.

Daily Duties:

  • Audit receiving reports received from warehouse to ensure they are complete/accurate.
  • Ensure that incomplete daily receiving reports are returned to the appropriate warehouse supervisor and management is notified.
  • Monitor workload progress and reassign tasks as needed to inventory clerks.
  • Send Receiving Reports (Inbound) and Backups to appropriate CSR.
  • Respond to and investigate customer inquiries regarding discrepancies.
  • Process/Track and report to customer completed relabel/rebox/remark and none productive inventory (NPI).
  • Follow up on all relabel/rebox/remark and none productive inventory (NPI) requests to ensure work is completed.
  • Process and file copy of sample requests from customer or delegate to appropriate inventory clerk.
  • Ensure site sample request logs are accurately maintained.
  • Monitor and ensure timely completion of product return inbound receiving report.
  • Match in-transit report data in SAP to AS400 and inbound documents as received and communicate discrepancies to customer.
  • Match Company inventory system records to customer inventory system records.
  • Research status of import deliveries and ensure email documents are maintained at appropriate site.
  • Enforce safety/work rules, notifying management when appropriate.

Weekly Duties:

  • Prepare and communicate special or priority tasks to inventory clerks.
  • Track progress of reconciliation reports between Company inventory system and customer inventory system until monthly reconciliation is complete.

Monthly Duties:

  • Coordinate efforts to close prior month month-end inventory books by third business day of each month.
  • Send monthly damage reports to plant representatives within five (5) business days of month end.
  • Pull/Sort/Organize and send Crate ID Reports to EM Representatives by third business day following the 15th day and last day of each month.

Quarterly Duties:

  • Inform management of any issues related to inventory clerks in performance of duties.
  • Participate in Department Communications Meeting with ISO Coordinator.
  • Participate in Quarterly Safety training as required.

Other Duties:

  • Within seven (7) business days of each audit close, work with supervision to locate all shortages and collect data on all overages.
  • Enter compliance items, non-compliances, and acknowledge good performance in CIS Quality System on a regular basis. Access CIS regularly to be familiar with system documents stored there such as procedures and forms.

Job Type: Full-time

Pay: $22.00 - $25.00 per hour
