JOB TITLE: HR Coordinator

DEPARTMENT: Human Resources

REPORTS TO: HR Generalist

FLSA STATUS: Hourly

JOB LOCATION: Los Angeles, CA

SALARY RANGE: $20-$24


Summary:

The HR Coordinator is directly responsible for the office administration within the business. This person provides high-level business support by maintaining all business functions including payroll, employee relations and first hand communication regarding HR Policies and process to the team members. Key responsibilities include the following:


Responsibilities:

Human Resources

Employee Files

  • Reviewing files in HigherMe including 1-9 and W-4 and downloading them to the Administration drive folder.
  • Filing away personnel information and maintaining files.
  • Scanning physical files onto drive, converting to digital files.

Payroll

  • Systematically make out of ops time punch entries
  • Daily review of time punch adjustments
  • Add time punches for each New Hire after each orientation


Operations Support

Manage Office space

  • Allocate 1-2 hours per week to organizing and cleaning the office


CARES

  • Managing all aspects of customer recovery
  • Review and respond to all CARES correspondence
  • Compile and provide CARES Incident report to Executive Directors weekly


Email/VM Correspondence

  • Respond to all emails and voicemails within 24 hours and communicate any pertinent information to the team in a timely manner

Ordering

  • Purchase all items needed to maintain a sound working environment (warehouse, office supplies, parts town, etc.)

Facilities and Equipment

  • Along with operations leadership, coordinate all quarterly, bi-annual, and inspections such as backflow prevention, fire safety, Support Center facilities walk-thru, etc.
  • Contact/schedule all repairs and maintenance
  • Negotiate and maintain all vendor contracts
  • Along with operations leadership conduct weekly walk-through’s of the premises, both internal and external
  • Share findings with Operator for Action Items
  • Ensure building and equipment is repaired/replaced in a timely manner
  • Make sure all levels of leadership have appropriate keys for their level

Administrative Support

Organizational Support

  • Manage all slack administration

End of Month

Assemble and mail Month End Package

  • Scan and file all invoices into Google Shared Drive
  • Send out all checks
  • Communicate on a weekly basis accounting notes to Executive Directors, Operator, and CFA Support Center Accountant
  • Respond to all Analytical Reviews of FCR packages in a timely manner

Employee Relations

  • Hold team members and middle management accountable to our core values.
  • Assist in gathering video footage for investigations.
  • Communication with Team members on Policies and resignation processes, and communicate with HR Generalist on upcoming resignations.

Recruiting

  • Screen candidates for interviews
  • Schedule interviews on the Higher-me platform and Google calendar
  • Coordinate with Non-ops and Ops Directors on who will be leading interviews.


Director Collaboration

  • Collaborate with operations directors concerning the financial return
  • Collaborate with Executive assistant concerning Google Drive, Hive, and document organization

Employee Tracking

  • Manager/Director perks
  • Send out a monthly email to Managers and Directors with their current perks totals
  • Sports tickets allocation
  • Enter new hires into the Orientation tab
  • Assist HR Generalist in updating the Employee tracking Master data sheet
  • Time punch adjustments
  • Callouts tracking
  • FOBs/Keys

Uniform Inventory Management

  • Update inventory of all uniforms in digital form and in closet in collaboration with Training Director
  • Order new uniforms and ensure inventory is stocked in collaboration with Training Director

Educational requirements:

  • Bachelor’s degree preferred, preferably in business or administration.
