Responsibilities:
The Director of Medical Staff Recruitment will work Full Time, Days and is under the direction of the Chief Clinical Officer and is responsible for all aspects of medical staff recruiting. The director will organize the department, grow and train the staff, create systems that make inviting/efficient/effective the experience of coming to work at Bassett on the medical staff, and will foster relationships in 360 degrees around the department with chiefs, directors, ELT, other leaders and other stakeholders. The director will also innovate new ways of presenting Bassett, of attracting a cadre of remote APCs, and of following up with recruits/spouses during and even after conventional time frames of onboarding. The director will create systems of continuous feedback and improvement from successful and unsuccessful recruitment efforts with major stakeholders, including applicants and chiefs of service. The relationships with chiefs and chief clinical officers will be of paramount importance.
  • Responsible for supervising the staff of the day-to-day recruitment of well-qualified candidates for Medical Staff openings by carrying out the following responsibilities.
    • Initiates recruitment activities for all approved positions assigned. This requires working closely with the department and Service LineChief, as well as, the directors and managers to review position requirements, department needs and hiring timelines.
    • Identifies, develops, and implements strategies for targeted recruitment of physicians and advanced practice clinicians during the first few days of receiving the recruitment requisition, as directed by the Service Line Chief and reviewed by the department manager.
    • Maintains ad postings and online recruitment efforts.
    • Coordinates and represents clinical departments and the Bassett Healthcare Network for recruiting purposes at medical conferences; virtual and on-site career fairs and APC lunch and learns. Helps coordinating residency dinners and facilitating journal club involvement as requested by the Service Line Chief. This process will be monitored by the department manager.
    • Manages the requisition process, making sure that SBAR, and signed requisition is approved before search begins. This process will be monitored by the department manager.
    • Follows established procedures agreed upon jointly with the Service Line Chief and department manager to assure effective efforts in physician and advanced practice clinicians recruitment activities. This will be reviewed quarterly by the department manager.
    • Generates and pursues candidates through the efficient use of recruitment marketing tools. Evaluate ROI on different recruitment strategies and analyze recruitment efforts and successes. This will be reviewed quarterly with the department manager.
    • Contacts department managers weekly to discuss recruitment roadblocks and/or issues that have arisen.
    • Meets with recruiters and the Associate Clinical Chief Officers weekly to discuss all recruitment activity.
    • Meets with Service Line Chief, director and manager biweekly to discuss recruitment activity.
    • Ability to flex schedule when needed to accommodate phone interviews and on-site interview schedules. This time will include, early mornings, evenings and some weekends. The department manager will monitor this through the weekly review process.
    • Reviews, researches and screens all physician and advanced practice clinician leads and communicates immediately with all applicants as to the status of their candidacy per the systems that are in place. This will be reviewed in the biweekly meetings with the Service Line Chief.
    • Conduct phone interviews with qualified candidate, providing them with the community, organization and search overview while screening them to assess their skill set, needs and compensation demands. This will be periodically monitored by the department manager.
    • Maintains daily activity log and notes identifying recruitment efforts currently underway and those for the future as noted by the department manager.
    • Internet searches the value and reputation of all physicians and advanced practice clinicians. Sends and reviews the confidential professional information form before formal invitation is extended at the request of the Service Line Chief and as observed by the department manager.
    • Provides good customer service to all candidates through timely notification of employment possibilities, consideration and selection. Responds to emails and phone calls within 24 to 48 hours upon receipt. The department manager will solicit feedback from key customers to monitor.
    • Coordinates the interview schedule, real estate tour, school tour, dinner and/or social event associated with the candidates visit. This will be monitored by the department manager.
    • On the interview day, if the interview schedule allows time, the recruiter will welcome them and provide a hospital tour, review of benefits and community tour. This is monitored weekly by the department manager.
    • Coordination of spouse schedules. Each schedule will be unique, but they should be offered a community, hospital and school tours. If the recruiters schedule allows, they will take the spouse to lunch or coordinate an alternative lunch guest. This is monitored by the department manager.
    • Functions as the contact should providers cancel at the last minute on the interview schedule. The recruiter will be the “go to” person and will stand in where needed until the candidate can be put back on track.
    • Assists in maintaining a constant source of information to the candidates and their families, remains in communication with them and takes appropriate and timely measures to recruit these physicians during the time set forth by the clinical chief and reviewed by the department manager.
    • Provides a salary justification for all hires. To be monitored by finance and EPCC.
    • Ongoing communication and meetings with the credentialing staff to ensure a smooth transition for new hires. To be monitored by department manager through weekly meetings.
    • Coordinates locum coverage with department and agency for searches that require coverage. Manages the requisition process, CV review, selection, contract and confirmation process. Monitored by the department manager.
    • Coordinates support and/or involvement from area volunteers, physician spouses, area businesses, etc, for recruitment efforts.
    • Facilitates a smooth transition and acclimation of physicians and families relocating to the area prior to the doctors start date as noted by the clinical chief and department manager.
    • Works with Medical Staff Credentialing and the clinical department to establish an onboarding schedule. Monitored by the department manager.
    • Conducts onboarding interviews on first day of employment, 3 months, 6 months and 12 months. This will be reviewed quarterly with the department manager.
    • Serves as a representative of Bassett Healthcare to physicians and their families as observed by the department manager.
    • Continually networks and building of strong relationships within the BMG and the community.
  • Responsible for the coordination of the day-today activities required for Visa Support.
    • In coordination with the immigration attorney, Service Line Chief, visa candidate and the chief clinical officer, the recruiter will be the primary contact at Bassett for this candidate. This coordination will include supporting all visa filings: gathering all support documents, posting and placing visa required ads, coordinating with state officials for support letters, getting legal documents signed and processed, as well as anything needed to move this process ahead. This will be monitored by the chief clinical officer and the department manager.
  • Responsible for the coordination of the onboarding process.
    • Facilitates a smooth transition and acclimation of physicians and families relocating to the area prior to the doctors start date as noted by the clinical chief and department manager.
    • Provide housing, real estate and moving information to candidate. Monitored by the department manager monthly.
    • Emails candidate housing rental and for sale lists when requested.
    • Communicates with facilities and provides moving form for new hire. Monitored by the onboarding specialist every month.
    • Works with Medical Staff Affairs Credentialing team and the clinical department to establish an onboarding schedule. Monitored by the department manager.
    • Conducts onboarding interviews on week 1 of employment, 1 month, 3 months, 6 months and 12 months. To include any Bassett social onboarding functions. This will be reviewed quarterly with the department manager.
    • Serves as a representative of Bassett Healthcare to physicians and their families as observed by the department manager.
  • Utilize various recruitment databases and spreadsheets for sourcing and employment process.
    • Utilize the recruitment systems that are in place for sourcing and tracking candidates. Update the applicant tracking database to maintain accurate information on applicants. Access salary and position information during the hiring process. Monitored by department manager and applicant tracking systems.
  • Performs similar or related duties as requested or directed.
      • Performs other duties as requested and observed by supervisor or manager.
Qualifications:
Bassett Healthcare Network follows the New York State and New York State Department of Health COVID-19 vaccine mandates for healthcare workers. Education:
  • Bachelors in Human Resources, Marketing, Management or other related field required.
Experience:
  • Three to five years professional level experience in human resources or regulatory programs required (experience in education may be considered).
  • Healthcare experience is preferred.
  • Must have extensive customer service experience as well as proven background in being in a high public contact position.
  • Demonstrated ability to work with and around highly confidential information.
Licensure/Certificates:
  • Clean, valid NYS driver’s license.
