Position: Clerk Specialist (40 hours per week/12 months)

Food & Nutrition Services Department Accounts/Applications


Job Summary:

The Cambridge Public Schools (CPS) is a diverse urban school district enrolling approximately 7,000 students in grades kindergarten through high school. The district has twelve elementary schools, four upper schools, and one comprehensive high school, which includes a school of technical arts.


The Food & Nutrition Services Department supports the mission of CPS by providing high quality meals using local and wholesome ingredients to the students of Cambridge so they are well nourished and ready to learn. The Accounts & Applications specialist must be able to deal tactfully and effectively with members of the Cambridge community as well as vendors. Under the direction and supervision of the Director of Food & Nutrition Services [or designee], the Accounts & Applications Specialist is responsible for processing vendor invoices, processing free & reduced price meal applications, tracking data in department software and spreadsheets, reconciling cash from sales to student meal accounts, and performing edit checks. The specialist should be a self-starter who thrives is a high-volume work environment and is skilled at managing competing priorities.


Key Responsibilities:

  • Work collaboratively with school food service staff, vendors, Cambridge City personnel to process invoices.
  • Works collaboratively with school staff, parents/guardians of Cambridge students to process free & reduced price meal applications.
  • Research and resolve payment-related issues
  • Schedule invoices and reimbursement requests for payment
  • Verify the status of vendor accounts by reconciling monthly statements and related transactions
  • Maintain historical records by scanning and/or archiving documents in accordance with Department protocol.
  • Maintain purchasing information, files and records (purchase orders, vendor files, etc.) ensure the availability of documentation.
  • Reconcile cash received throughout district sales with register reports. Prepare cash for bank deposits.
  • Participate in professional development opportunities, as appropriate.
  • Perform other duties as assigned.

Skill Set & Qualifications:

The incoming Accounts/Applications Clerk Specialist for Food & Nutrition Services will possess many, though perhaps not all, of the following characteristics and qualifications:

  • Requires a general understanding of accounting practices and principles;
  • Strong Microsoft Office skills and proficiency with Google Suite applications;
  • Familiarity and knowledge of PeopleSoft or other enterprise resource planning system and basic accounting principles is preferred;
  • Experience using query tools in Point of Sales software: WinSnapp, Horizon, or similar program.
  • Experience handling and reconciling cash with sales reports.

The successful candidate will exhibit excellent attention to detail, possess exceptional customer service and communications skills (both verbal and written), and have the ability to work independently to prioritize tasks to meet department deadlines.
