Assistant Plan Associate (Las Vegas, NV)
Summary – Assists the Plan Associate/Plan Manager in the administration of various employee benefit plans, such as Health & Welfare, Defined Benefit and Defined Contribution Pension Plans, Vacation, and Supplemental Unemployment Benefit Funds. Full time, 40 hours per week, Onsite.
Essential Duties and Responsibilities – Include, but are not limited to:
Applicant must be highly organized with an eye for detail. They must be able to exercise discretion in all matters related to administration, including but not limited to Fund financial and investment information, Trustee concerns, and participant appeals.
Board of Trustee Meeting Responsibilities:
Assist in preparing information and reports for the meeting agendas; prepare and distribute meeting notices for each Fund which includes the minutes from the previous meeting, tentative agendas, current financial statements and bills for ratification. Responsible for notification, scheduling, and confirmation of guests and vendors that are invited to attend meetings.
Attend Board of Trustee meetings, as needed in person or virtually.
Assist in updating BeneSys barometers and fund specific reports.
Event/meeting preparation which includes coordinating attendees, catering arrangements, meeting booklets, room and electronic devices preparation.
Day-to-Day Responsibilities :
Open and sort all Fund correspondence; assist when needed with processing of all invoices received for the Funds, including monthly or quarterly billings from vendors, legal counsel, investment managers, investment consultants, health-care providers, etc.
Prepare monthly ad-hoc reports for Trustees and Locals.
Updating of the intranets Client Sites, Trustee and Participant websites, which includes ensuring Plan documents, SPD’s, amendments, participant notices, and plan changes are current. Assist Plan Associate with preparation and coordinating all employer participant mailings to notify of any benefit changes, rate changes, etc. including notification to Locals. This includes coordination with Support requesting data files and mail merge files.
Set-up and maintain administrative papers and electronic files, maintaining organization of these files both on and off site. Responsible for coordinating participant website information including all participant mailings, current plan documents (SPD, amendments), benefit changes notices, vendor notifications, FAQs, and any other relevant information.
Assist Plan Associate and Plan Manger with the Funds’ annual audit, as needed, by providing necessary data – minutes, plan documents, copies of checks, etc.
Responsible for keeping accurate and up-to-date IFEBP membership, Trustee registration and accommodations. Maintaining all documentation including expenses, processing and organizing files for all requests for Trustee expense advances, reimburses, and lost wages.
Assisting the Plan Associate and Plan Manager through tracking management calendars, scheduling meetings, event planning, generating reports, conducting project research. May involve drafting, editing, proofing, and other documentation for Board of Trustee and vendor meetings, setting up, and cleaning up afterwards.
Regular and predictable attendance is an essential function of this job.
Education and/or Experience - High School diploma or equivalent required, college degree preferred. Candidate must be computer literate possessing an intermediate knowledge of Microsoft Office.
Language Skills - Ability to read, analyze and interpret general correspondence. Ability to prepare reports, draft meeting minutes and correspond with Fund vendors, participants and Trustees. Ability to effectively present information and respond to inquiries from managers, clients, vendors and participants.
Reasoning Ability - Ability to interpret and follow a variety of instructions furnished in written or oral form. Must be attentive to detail and disciplined to meeting deadlines and establish priorities.
Physical Demands – Sustained periods of sitting, standing and keyboarding. Occasional lifting and carrying of boxes, typically “banker-box” size. Must be able to operate basic office equipment such as a scanner, adding machine, postage meter and copier.
Work Environment – This position is based in a typical office environment. This is an in-office position, and the ability to maintain regular and predictable attendance in the office is an essential function of this position.
Work Schedule
Full time. Monday – Friday 8:00am - 4:30pm. Required in office (no at-home days).

Pay
Salary offered dependent on location, education, experience, skills and other business factors. This is a non-exempt position with a salary range of $58,000 - $60,000 annually or equivalent hourly rate.
