The Mexican American Bar Association of Los Angeles County (MABA), a not-for-profit organization, is seeking a part-time administrative assistant. MABA was founded in 1959 by a group of Mexican American attorneys who saw the need to create an organization committed to empowering and educating the Latino community. MABA is one of the largest associations of Latino lawyers in the United States. MABA’s mission is dedicated to the advancement of Latinas/os in the legal profession and the empowerment of the Latino community through service and advocacy.

Summary of Administrator Roles and Duties:

The Administrator is required to work closely with the MABA Board of Directors and its Executive Board members. The Administrator assists them in responding to the needs of MABA members, assists with event planning, attends events, and is responsible for a full range of administrative office tasks.

Major Areas of Responsibility:

  • Answering/returning telephone calls/making designated phone calls
  • Monitoring and responding to emails in a timely manner
  • Opening mail/ responding/ filing mail. Direct mail to appropriate board members
  • Handling communications with MABA members, new applicants, and the general public
  • Attend the monthly MABA Board of Directors meetings
  • Assist MABA Event Chairs with event planning; attend and work at the events
  • Assist MABA Treasurer with a collection of membership dues, preparing and monitoring expense reports, developing and maintaining accurate financial records, and making bank deposits, manage electronic/non-electronic payment applications
  • Assist MABA Membership Director with a collection of membership applications, maintain accurate membership records, and assist with membership drives
  • Assist MABA with fundraising activities
  • Manage various social media platforms
  • Managing various activities within our Wild Apricot Software
  • Create and maintain records, reports, and forms with regards to items such as:
  • Treasurer reports/finances
  • Membership
  • Board meeting documents
  • Events
  • Other

Specific Skills/Knowledge Vital for the Position:

  • Secretarial or event planning background
  • Excellent written and oral communication skills
  • Organized and detail-oriented
  • Ability to work closely and collegially with others
  • Ability to work effectively handling a variety of projects
  • Demonstrate interest in public service and experience or desire to work with diverse communities.
  • Competence in Word for Windows and Excel
  • Familiarity with and ability to manage various social media platforms
  • Familiarity with and ability to manage electronic payment applications such as AffiniPay
  • Familiarity with the Wild Apricot member management software (training available)

Minimum Education Required

High School Education; College Education Preferred.

Level of Language Proficiency

Bilingual (Spanish language) preferred

Note:
The Administrator is required to work with minimal supervision. For this reason, it is important that the Administrator communicates efficiently and regularly with the President and all board members. Said communication can take place via email, phone call, text, and in-person meetings. It is vital that the Administrator acknowledge that the MABA board is composed of all volunteer attorneys and one law student. Thus, the administrator is here to provide information and assistance to the board and facilitate the process of having them effectively and proficiently execute their roles.

In summary, the ideal administrative candidate should be honest, trustworthy, hard-working, motivated, have a positive attitude, be able to work with minimal supervision, and must maintain a professional demeanor at all times.
