Job description

This is professional work coordinating administrative duties for the City Development Administration Department through a variety of office support activities. Work involves the exercise of considerable initiative and independent judgment; the ability to quickly learn departmental procedures, policies, and practices used to carry out the position responsibilities; multi-tasking various responsibilities with varying deadlines; screening contacts and responding to public inquiries; acting as liaison between citizens, staff, and management; and maintaining and organizing documents, files, and records. Work requires the ability to competently compose and send professional correspondence; and good customer service and interpersonal skills to respond to requests for services via telephone, email, mail and in person. An employee in this class may participate in the supervision of clerical personnel carrying out related tasks; will provide administrative support and coordination of departmental activities such as payroll, training, staffing, procurement of supplies, and office administration; and is expected to exercise a very high degree of professional discretion when handling sensitive or confidential information or records. An employee in this class may be required to have a flexible schedule due to the hours that the department operates.

Salary: $65,874 – $105,539

To Qualify

Minimum Qualifications. Applicants must:

  • Have a valid Bachelor’s degree -or- in lieu of the degree, may have a valid high school diploma or GED equivalency combined with related experience.
  • Have experience serving as an administrative assistant responsible for handling technical and administrative problems and affairs.
  • Be able to learn, analyze, interpret, and make decisions in accordance with laws, regulations, and policies.
  • Possess excellent computer skills including the use of Microsoft Word, Outlook, and Excel.
  • Be able to communicate clearly and concisely, orally and in writing.
  • Be able to prepare and edit error free documents and correspondence.

Desirable Qualifications. Preferred applicants:

  • Have prior experience as an Administrative Coordinator, Office Coordinator, Office Manager, or a similar role that includes payroll, training, staffing and/or customer service.
  • Have some knowledge of the principles and practices of personnel management and budget preparation, preferably with a local government office.
  • Have some knowledge of the rules, regulations and ordinances governing a municipality such as Florida Public Records law.
  • Are able to perform mathematical calculations, preferably related to financial, and some statistics.
