Duties and Responsibilities:
The Psychology Department is accepting applications for the Administrative Associate position. The job functions are to support the mission of the department, the mission of the college, and the mission of Auburn University at Montgomery. The qualified candidate selected for this position will be responsible for the following:
  • Assist the department chair in various administrative duties to ensure the smooth operation of the department. This includes but is not limited to:
  • Open and close the department daily; be available to greet and assist the public and direct them to proper offices. Answer questions and give non-technical/confidential information. Interpret and advise staff and the public on rules, regulations, and procedures. Receive and resolve complaints; arrange appointments; screen phone calls and prospective employees. Coordinate the maintenance and repair of the office and equipment; determine the need for supplies and maintain the stock. Receive, open, sort, and distribute mail/supplies and other correspondence.
  • Operate a desktop computer using Windows and Microsoft Office. Basic knowledge of operating a telephone, calculator, scanner, fax, copy machine printer, and other office equipment to enter data, inquire for information, and perform administrative duties.
  • Work collaboratively with Auburn University at Montgomery faculty and staff across departments and campus. Compile and create reports, both clerical and statistical, worksheets, and tables, and work on special assignments as given. Attend and keep records of meetings, conferences, and other proceedings. Communicate assignments to faculty and staff; coordinate with departmental representatives to collect and disseminate information. Compose form letters, emails, tables, reports, memorandums, and other materials from templates, rough drafts, and detailed instructions. Proofread all outgoing written communication for grammatical errors and factual accuracy.
  • Maintain and supervise a large filing system for academic and HR records. Analyze and organize files, and sort correspondence, reports, records, and other documents by established categories. Maintain manuals, books of procedure, and bulletins. Check and analyze documents and statistical information for completeness, accuracy, and proper coding according to standard procedures and ensure compliance with applicable rules and regulations. Prepare specifications and process requisitions and material receipts for supplies, purchases, billing, and forms.
  • Maintain attendance, personnel, time, payroll, inventory, accounting, financial, cost and/or other operating records where technical knowledge of established policies and procedures is required; maintain confidential records and/or documents.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:
  • Knowledge of word processing software and the ability to operate standard PC/PC software applications
  • Knowledge of Excel and other spreadsheet software
  • Knowledge of applicable university policies and procedures
  • Knowledge of general office procedures and professional office behavior
  • Knowledge of assigned department forms, rules, etc.
  • Interpersonal skills and cultural competence
  • Oral and written communication skills
  • Analytical skills
  • Ability to review materials and identify discrepancies or mistakes (i.e., proofreading)
  • Ability to perform basic mathematical computations
  • Ability to respond to several demands at one time

Minimum Qualifications:
High school diploma or equivalent and two (2) years clerical/administrative experience. Additional relevant education may be substituted for the experience requirement.
