This position is an administrative assistant within the College of Medicine (COM). This position initially supports the 3 current Associate Deans and will evolve into supporting the Associate Dean for Academic Affairs and the personnel within that branch of the COM organizational chart as the COM grows.

The Administrative Assistant II position is a highly skilled paraprofessional position and requires the exercise of considerable initiative, independent judgement, high-level administrative work, and discretion to support and facilitate the roles of the Associate Deans

As a condition of employment, Duquesne University requires all new employees —full-time and part-time, including adjunct faculty—to get a COVID-19 vaccine and provide proof of their vaccination upon commencement of employment.

New employees requesting a religious or documented medical exemption from the vaccine must complete and submit a Duquesne University exemption request form for review and approval. DUTIES AND RESPONSIBILITIES:

Provides overall administrative support to the Associate Dean(s) of the College of Osteopathic Medicine (COM).

Assists in projects related to the work of the Associate Dean(s).

Assists in the maintenance of the Associate Dean(s) budget.

Serves as a primary point of contact for the Associate Dean(s) connection with leaders and personnel from the University, outside entities, and the COM.

Completes other duties as assigned.


REQUIREMENTS:


Minimum qualifications:

Associates degree in a related field from an accredited institution.

1-3 years of progressively responsible experience.

Preferred qualifications:

Bachelor’s degree in business administration or related field from an accredited institution.

Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:

Budget management responsibility and/or handling of cash, credit card, or payment information.

Excellent time management and organization skills

Strong technical skills including Microsoft Outlook, Word, Excel, and PowerPoint, Telecommunications software (i.e. Zoom), web-based software, Adobe PDFs.

Ability to work independently on complex and confidential issues.

Experience preparing reports.

Ability to establish and maintain effective working relationship with the University and COM communities.
Excellent communication skills.

Knowledge and experience in accounting and financial management principles
