JOB TITLE: Administrative Assistant – High Risk Victims and Civil Rights Unit (HVCRU)

REPORTS TO: Unit Chief and Chief of Administrative Staff

COMPENSATION: $40,000; commensurate with experience

POSITION PROFILE: The Suffolk County District Attorney’s Office (SCDAO) seeks a motivated, organized, and detail-oriented individual dedicated to public service, committed to justice and fairness, and interested in criminal justice reform to provide administrative support to the High Risk Victims and Civil Rights Unit, which includes a team of Assistant District Attorneys, Victim Witness Advocates, investigators, and other professional staff in the Suffolk County District Attorney’s Office.

ESSENTIAL FUNCTIONS:

  • Provide administrative and office support to the Suffolk District Attorney’s Office and for an assigned court or unit, including but not limited to reviewing documents, creating files, answering phones, copying, and organizing documents, and managing internal and external mail flow.

  • Perform data entry in Office’s case management system (DAMION)

  • Prepare subpoenas, organize cases, draft correspondences, and manage spreadsheets.

  • Provide professional and courteous greetings and assistance to Office visitors, guests, and employees.

  • Direct calls to appropriate staff or take clear, concise telephone messages and forward to appropriate staff.

  • Support staff assigned to court duties:

  • Directly maintain and update case management database, including file creation, both physical and in DAMION, and data entry of disposition information in an accurate and timely manner.

  • Prompt file retrieval from both open and disposed-of cases as needed.

  • Perform all duties related to case management as required by Assistant District Attorneys, Victim Assistance Advocates, and other administrative and support staff, including requests for reports and other case-related information, summonses and notifications, and disposition reports.

  • Specific HVCRU responsibilities:

    • Process intakes Disabled Persons Protection Commission (DPPC)

    • Interact with Central Boston Elder Services (CBES).

    • Intake referrals from Massachusetts State Police, DDS, DMH, and MRC. Also receive reports from CBES as well as Mystic Valley Elder Services, DCF, SCRs, BPD, and walk ins/cold calls.

    • HRVCU investigates civil rights violations and obtains referrals from the BPD Civil Rights Unit.

  • Work closely with colleagues, victim witness advocates, law enforcement, court personnel, the defense bar, criminal justice agencies, community partners, and the public to ensure successful, holistic approach to prosecution that balances the safety and well- being of the victims, defendants, and communities we serve.

  • Positions may require lateral rotation to similar positions in different courts or units within the Office.

OTHER DUTIES:

  • Attend required training and other trainings relevant to Office functions.

  • Become familiar with and follow the provisions of the Office Personnel Policies, particularly with regard to confidentiality, sexual harassment, drug-free workplace, and the usage of information technology resources.

  • Exercise respectful and professional behavior and communication with the public, judicial, and law enforcement personnel and office staff.

  • Complete work assignments in a timely, accurate, and efficient manner.

  • Perform other duties as assigned.

PHYSICAL DEMANDS: Ability to sit and stand for extended periods of time and lift up to 20lbs.

TRAVEL: Minimal travel required, though administrative Assistants may occasionally be asked to travel from One Bulfinch Place to another court or agency in county to provide coverage or to deliver or pick up documents.

Qualifications


EDUCATION AND EXPERIENCE:

Required:

  • Strong written and verbal communication skills.

  • Excellent organizational skills with strong attention to detail.

  • Ability and willingness to assist in other courts or units that may be shorthanded.

  • Ability to update the case management system both accurately and in a timely fashion.

  • Ability to assess and address issues in a timely fashion.

  • Ability to multi-task and prioritize responsibilities in a fast-paced environment.

  • Ability to work independently and be part of a team.

  • Strong computer skills; must be proficient with Microsoft Office Suite.

  • Strong interpersonal skills.

  • Strong personal character and ability to handle sensitive and confidential information.

Preferred:

  • Bachelor’s degree.

  • Customer service experience.

  • Fluency or Conversational Abilities in Spanish, Haitian Creole, Cantonese or Mandarin

  • Chinese, Portuguese, or Cape Verdean Creole.

  • Experience working in a professional office environment.

  • Working knowledge of the criminal justice system and interest in public service.
