Gladstone Psychiatry and Wellness is recruiting for an Executive Assistant to work with the members of our Executive Team. The Executive Assistant is responsible for managing the schedules, projects, and activities for members of the Executive Leadership Team; reviewing and managing emails, organizing meetings and conference calls, reviewing and managing contracts, and writing correspondence and other communications.


Duties/Responsibilities:

  • Managing the executive’s calendar, including scheduling follow meetings and prioritizing the most sensitive matters.
  • Providing administrative assistance, such as preparing communications on behalf of the Executive Team.
  • Maintaining comprehensive and accurate records
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Arranging Travel
  • Responding to all requests in a polite and professional manner
  • Other duties as required.

  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks
  • Ability to function well in a high-paced and at times stressful environment.
  • Requires a working knowledge of effective interpersonal communication and customer service excellence
  • Requires working knowledge of Microsoft Word, Microsoft Excel, Google, and other applications
  • Requires proficient typing skills
  • Requires the ability to talk and type simultaneously
  • Requires excellent verbal and written communication, professional telephone manners and interpersonal skills to interact with all staff, providers, and external agencies.
  • Requires the ability to work with diverse people and deal effectively with angry and/or upset patients.
  • Exceptional customer service, active listening, verbal and written communication skills and professional phone voice.
  • Exceptional communication skills/detail oriented
  • Possess the ability to effectively communicate and deal tactfully with other personnel, visitors, patients, physicians, customers, and the public.
  • Must be flexible, have personal integrity, and the ability to function effectively as a team member.
  • Exceptional office skills – data entry; typing; faxing; scanning, etc.
  • Use multiple screens and excel spreadsheets.

Education and Experience:

  • Associates degree preferred but not required.
  • At least two years’ experience as an executive assistant/ personal assistant
  • At least 2years experience in medical office, medical/mental health call center or similar customer service environment preferred but not required.
  • Preferred prior behavioral health or psychiatric experience.

This position may at times require travel to one of our 4 office locations, travel with Executive Team Members.
