This position will perform a variety of Accounting and Human Resources tasks under the direction of the

Accounting Manager and Chief Operations Officer.

ACCOUNTING DUTIES

Review all invoices for appropriate documentation and approval prior to payment.

Enter vendor invoices coding to appropriate cost centers, project, G/L account, etc.; respond to vendor inquiries; investigate discrepancies; maintain vendor files and documentation thoroughly and accurately.

Prepare weekly AP check runs ensuring no erroneous payments are processed. Print, scan, maintain and file accounts payable documents, reports, and vouchers

Prepare monthly and quarterly multi-state tax filing, reconciliations and various financial reports.

Verify and ensure accuracy of approved weekly time records; input time records into Microsoft NAV Accounting System for bi-weekly payroll.

Setup new hires, direct deposits, track wage garnishments and other special payroll deductions; and process terminations.

Research inquiries on paychecks and other payroll related matters.

Input employee status changes affecting net wages such as exemptions, garnishments, union dues and insurance deductions for each employee.

Assist in internal and external audits, preparation of W2s, 1099s, and other statements and reports as needed. Respond to time-sensitive and/or confidential matters in a timely manner.

Support month-end and year-end close process.

Requires solid knowledge of accounting and financial principles.

HUMAN RESOURCES

Maintain employee personnel files, confidential files and other record keeping.

Coordinate and onboard new hires, process pre-employment screenings, and provide orientation on company benefits, policies and procedures.

Administration of company benefit programs.

Assist employees and managers with basic interpretation of HR policies and procedures.

Review and update employee handbook, policies and procedures ensuring compliance with most recent federal and state regulations and guidelines.

Respond to reference checks and employment verifications.

Investigate accidents, injuries and other claims; assist supervisors in preparing disciplinary actions.

Maintain OSHA logs/reports.

Coordinate responses to grievances, EEO inquiries and unemployment claims.

Coordinate affirmative action compliance and equal employment opportunity; advise and assist managers in employee relations and benefit matters.

Respond to time-sensitive and/or confidential matters in a timely manner.

KNOWLEDGE, SKILLS, & ABILITIES

The ideal candidate possesses the ability to use professional discretion in dealing with confidential matters, maintains an effective flow of communication, and can manage a multi-faceted workload while meeting deadlines. Excellent written and verbal communication and computer proficiency required including ability to develop and use complex Excel spreadsheets. Valid driver's license with an acceptable driving record.

Takes initiative to get work done without being asked. Strong organizational, time management and analytical skills. Ability to understand and follow written and oral instructions. Requires meticulous attention to detail while processing a high volume of paperwork.

EDUCATION/EXPERIENCE:

Bachelor’s degree or equivalent and three years’ related experience; or five (5) years’ related experience as staff accountant or full-charge bookkeeper.
