Position Overview

The Account Coordinator is responsible for providing administrative and customer service support to the Client Partnership team. This role aids in guiding the flow and upkeep of valuable operations ranging from contracting, onboarding, maintaining databases, scheduling meetings/interviews, and obtaining client feedback. Delivering accurate and timely information, being transparent, positive, and honest; are essential skills in this role and help to build the Evergreen brand by creating trust and authentic relationships with Evergreen’s client partners, consultant partners, and colleagues.

The Account Coordinator is a member of the Client Partnership team and reports to the Director of Client Operations. Work can be done either in-person in our Middleton, WI office, fully remote, or hybrid.

Essential Functions

Administration & Operations

  • Provide high-level administrative support and assistance to the Client Partnership Team.
  • Prepare communications on behalf of Client Partnership team – draft and edit, emails, memos, and presentations.
  • Arrange travel and accommodations for Client Partnership Team.
  • Maintain client files; saving required documents including but not limited to, client contracts, client agreements, vendor agreements, certificate of insurance, statements of work, and purchase orders.
  • Maintain databases, systems, and client Vendor Management Systems (VMS).
  • Schedule interviews for new jobs/requisitions and follow-up with client to obtain feedback on the interview.
  • Work with Account Managers to support the job submission workflow including preparing client submission emails.
  • Coordinate with colleagues to optimize onboarding experience for consultants to ensure they start on time.
  • Collaborate with Account Managers to send verbal offers to the Engagement team on behalf of the client. Verify verbal offer acceptance details to accurately, create placement records, and prepare drafts of statements of work for new placements. Follow-up with clients to ensure all statements of work are finalized and purchase orders are obtained.
  • Support weekly business development and client meetings by taking notes, following up on tasks and sharing updates as needed.
  • Maintain client records by documenting notes and data accurately in CRM tool.

  • Assist and back up other colleagues when necessary.
  • Embrace change as Evergreen scales systems and processes.
  • Attend Evergreen’s in-person annual retreat one time per year.

Qualifications

Required Qualifications

  • One to two years of related administrative or customer service experience.
  • Intermediate knowledge and experience using Microsoft 365 products: Word, Excel, PowerPoint, Teams, and Outlook.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential information with professionalism and diplomacy.
  • Ability to establish and maintain effective working relationships with diverse groups of team members, managers, and vendors.
  • Demonstrated commitment to put forth consistent effort and successfully complete assigned tasks in a timely manner without sacrificing quality.
  • High attention to detail, including strong time management, analytical, organizational, and active listening skills.
  • Ability to contribute to a positive working environment.

Other Required Qualifications

Should you travel on-site to a client site, or a partner of Evergreen, and specific vaccinations are required by the client/partner, Evergreen does require our staff to meet these requirements. If you cannot meet the requirements, you might be asked to provide a religious or medical accommodation pursuant to the state and federal law.

Salary Range
$45,000-$55,000, depending on experience, in addition to a comprehensive benefits package.

Work Hours & Travel Requirements
Core work hours are 9am-5pm CST and most of our internal meetings take place during this window. Occasional domestic travel up to 5%. If remote, travel might include bi-annual visits to Evergreen’s headquarters in Middleton, Wisconsin.

Physical Demands

Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time.

Work Authorization Requirements

Evergreen is interested in every qualified candidate who is eligible to work in the United States. However, we are currently unable to sponsor work visas.  At this time, candidates must reside in the U.S. to be eligible to work at Evergreen Healthcare Partners.

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
