Position summary

Under the supervision of Training Institute Directors, provide administrative support to staff and leadership working in the program with the purpose of supporting the development and implementation of a new and innovative mental health clinic training program. The position’s primary responsibility will be to coordinate the scheduling, administrative, logistical, and technology aspects of training and consultation events and meetings provided through the Training Institute. The coordinator is also expected to oversee the training or consultation event on the day of to ensure the needs of the participants are met. The program’s mission is to be a nationally recognized Children’s Mental Health Training Institute, providing comprehensive training in best practice methods from the fields of Psychology, Social Work, and Marriage and Family Therapy prioritizing engagement, assessment, intervention, and evaluation.

Responsibilities

Internal Training & Event Coordination
- The Training Institute Coordinator will be responsible for the following tasks to aid in the program’s mission:
  • Coordinate details of Training Institute events and trainings to include:
o Corresponding with trainers and trainees to manage schedules and training day needs
o Communicate with outside vendors to order food, refreshments, and supplies as needed
o Collaborate with facilities and IT management to ensure technology and room set up accommodates participants’ needs
o Prepare educational aids and materials
o Assist with greeting visitors in the building
Training Institute Coordinator
  • Gather and assemble training materials and content relevant to training in order to submit application to licensing boards for Continuing Education Credits (CEUs)
  • Market available training opportunities by providing necessary information to internal and external audiences
  • Create and coordinate GoToWebinars to provide livestreaming capability for the trainings
  • Oversee events and ensure the needs of participants are being met, to include but not limited, managing food and beverages, helping training facilitators as needed, ensure materials are available when needed, and troubleshooting technology issues
  • Set up and clean up all events held for the Training Institute
  • Analyze event operations, and based on the results, prepare and implement recommendations for improving operational efficiencies within events

External Training & Event Coordination
– The Training Institute Coordinator will work with Washburn Trainers, the Training Institute Associate Director, and external clients to schedule and coordinate the logistics for external training events, including but not limited to:
  • Gather information for training requests and work with external clients to clarify training needs
  • Work with external clients, Washburn Trainers, and the Training Institute Director to determine ability to customize trainings to the clients’ needs
  • Schedule the training event with the external client and coordinate logistics for the day of the event as needed which may include booking training space, creating schedules, and ordering refreshments
  • Coordinate travel arrangements as necessary for the Washburn Trainers
  • Prepare materials necessary for the training
  • Work with the Finance Department to create contracts and send invoices for the training
  • Collect feedback from the training events
  • Develop feedback reports to help ensure the continuous improvement of Washburn trainings and trainers

Online Training Facilitation
– The Training Institute Coordinator will be expected to maintain Washburn Center’s Online training, including the following tasks:
  • Maintain the Learning Management System (LMS) for all Training Institute activities
  • Manage enrollment for all internal and external trainings in the LMS, and follow up with trainees to ensure completion of trainings
  • Develop structure for each training course provided
  • Collaboratively contribute to development and revision of online LMS courses
  • Develop and implement communication plans for courses
  • Train, as needed, all new staff on the use of the LMS
  • Support staff using LMS for other program trainings, including new hiring training, annual training requirements, and other administrative training needs
  • Track and manage all registration fees through the LMS
  • Troubleshoot any technical issues with the LMS
  • Act as the LMS knowledge expert to determine the most effective ways to use the system

Database Management
– To ensure effectiveness of the program, the Training Institute Coordinator is expected to perform the following:
  • Use Microsoft Access database to track completion of Washburn Center for Children’s trainings
  • Track CEUs earned by staff members as required for clinical licensure
  • Collect, compile, and report results of evaluation, attendance, and training data in order to continually improve educational opportunities
  • Record training, use of evidence-based practices in clinical work, and consultation hours in order to track clinician’s progress towards certification and licensure
  • Create and provide reports on the progress toward certification and licensure for clinicians on a regular basis
  • Collaborate with Information and Database Coordinator to develop tracking processes and troubleshoot database issues

Administrative Support
– The Training Institute Coordinator is responsible for the following tasks:
  • Support directors with preparing correspondence, presentations, and other documents
  • Collaborate with the Training Institute grant funders, United Health Group, to coordinate meetings, assemble materials, or assist with other related tasks
  • Provide miscellaneous administrative support to Training Institute Directors, Training Institute staff, program supervisors, and clinical staff
  • Assist with planning internal staff meetings, preparing meeting agendas, and recording meeting minutes
  • Take the lead in organizing complex information and developing processes and procedures that ensure smooth administration of the Training Institute
  • Create and maintain the Training Institute Policy and Procedure Manual

Qualifications
  • Bachelor's Degree in a related field
  • 1-3 years of experience in an office environment including administrative support and database management

Salary: $18-$21
