Job description
The Technician for Admissions & Records is responsible for review and data entry of all incoming applications and other documents for admission to the college, communications with applicants and prospective students along with maintaining admission workflows through use of Ellucian and OnBase imaging. This position also reviews and admits students to the college and provides admitted students with notification. In addition, the Technician performs tasks related to registration, transfer credit, grade changes, transcript reviews and/or requests, enrollment verifications, course substitutions and graduation.
Minimum Qualifications
  • Associate degree and two years of related experience in an educational environment OR high school diploma and three years of related experience/training in admissions department of an educational environment.
  • Computer Proficiency in various systems.
  • Independent worker with the ability to work with a highly organized team
  • Demonstrated ability to perform assigned tasks readily, adhere to prescribed routines, and follow oral and written instructions.
  • Recognition of the purpose and services provided by the college.
Preferred Qualifications
  • Associate degree and five years of related experience in an educational environment
  • Previous experience with Datatel, OnBase, Ellucian or other enrollment services software is preferred.
Essential Duties
  • Maintain confidentiality regarding student records in compliance with state and federal laws in accordance with the Federal Education Records Protection Act (FERPA).
  • Extract, convert, enter, update, and/or index incoming admission applications and related applicant information in applicable school systems using computerized admission and scanning software with electronic storage system (i.e. Cross Connect, CFNC, Datatel, OnBase etc.)
  • Ensure valid residency (RDS) and work with student to resolve issues (i.e., expired RDS, mismatched SSN, name, or date of birth etc.)
  • Build applicant files for online applications not uploaded into Datatel due to missing information, applicant input errors, foreign residency.
  • Review and verify all records and submissions for accuracy, completeness, and compliance with established admissions standards and procedures.
  • Review and admits students to the College.
  • Review current student’s file in all applicable systems for accuracy and re-evaluate transcripts as necessary.
  • Correct errors and merge duplicate student records, as needed.
  • Process all incoming correspondence, including email, online applications, transcripts, requests for transcripts, enrollment verifications, FERPA forms and change requests.
  • Process applications for Career and College Promise (CCP) students in partnership with the CCP office.
  • Process requests for grade changes, course substitutions, advanced standing credit and program changes.
  • Evaluate high school and college transcripts of both newly approved and currently enrolled students to determine what courses will transfer into their program and removes any credits that do not apply if programs change.
  • Post transfer credits awarded in school systems.
  • Evaluate and post credits based on Advanced Standing Guidelines
  • Validate and enter comments and/or scores for TEAS, AP and other testing into school systems.
  • Assist in completion of final verification of candidates for graduation to certify they have met graduation requirements, as well as assist with preparation of diplomas, lists, determination of honors, and other ceremony logistics.
  • Respond promptly to any inquiries from students or colleagues regarding transfer credit and degree check issues.
  • Initiates contact between department chairs/deans and approved students who require special evaluation of credit.
  • Maintain current with knowledge regarding all college program and course requirements including policy changes..
  • Collaborate with appropriate parties to resolve concerns regarding the ICR, CCSR and CRPFA reports on a semesterly basis.
  • Maintain and run various reports required for data cleanup and maintenance.
  • Act as a liaison for testing system patches and/or a member of the CORE committee.
  • Serve on committees and attend conferences, as requested.
  • Participate in various events/activities around the college (i.e., Welcome back week, Graduation, Fall Fest, Forsyth Tech WORKS, Forsyth Tech MOVES, etc.)
  • Complete at least 20 hours of professional development each year.
  • Cross-train for other areas of the department.
  • Create and update job aids as relevant to the position
  • Perform other duties as assigned by the Director, Executive Director or VP.
