SUMMARY

Provide assistance to the Superintendent, Assistant Superintendent, Human Resources department and other district staff.

EDUCATION and/or EXPERIENCE

High school diploma or GED, with a minimum of 5 years related experience. Preference may be given for experience in education, human resources and/or a similar field.

Maintain confidentiality of all school and personnel related issues.

  • Serves as minute clerk to the Board of Education. To include: Working closely with election board officials, county clerk, and newspapers in preparation and filing of school district's legal documents to conform with statutes.
  • Preparing tentative and final agenda and posting prior to board meetings. This includes the preparation of addendums and/or gathering of documents/contracts needed for board signature.
  • Attending all board meetings and taking minutes. Prepares and formulates unapproved and approved minutes and ensures copies are distributed and proper signatures are obtained.

Work closely with the superintendent and the Oklahoma State Department of Education, Oklahoma Department of Career Technology Education, Oklahoma State School Board Association, and Oklahoma Association of Career and Technology Education in maintaining compliance standards and the tracking of all board member's continuing education credits.

Maintains board member travel attendance records. Provides reports as required.

Assures all activities related to the Board follow established format, rules, and Open Meeting Act law.

Responsible for making travel arrangements and conference/meeting reservations as directed.

Prepare annual planning packet for Oklahoma Dept. of Career and Technology Education.

Responsible for the development of presentations as directed.

Communicate with sending school superintendents regarding monthly superintendent meetings and other correspondence.

Maintain policy manual and ensure updates are posted on internal and external sites.

Update job descriptions, post job and advertise as directed. Schedule interviews and assist in preparation of interview packets.

Process all part-time employee new hire packets – input information into iVisions, process I9 forms, create contracts as needed.

Send perspective employees background check and pre-employment drug screen authorizations and schedule fingerprints for new hires.

Maintain wellness program, new employee handbook, staff directory, annual sex offender and violent crime offender searches, inclement weather database, GCN training and other items as directed.

Assist with event scheduling and planning for Superintendent, HR and/or Professional Development (PD) activities in all aspects as directed.

Implement, maintain and train employees on Frontline PD software. Assist with questions and be liaison between employee and software support.

Attend instructional and support professional development committee meetings. Compile, distribute and/or track surveys, attendance, feedback and other information gathered during PD events.

Assist in growing the PD offerings to support staff and ensure compliance with state regulations for faculty PD trainings.

Focuses on being a leader within the organization through personal accountability, active problem solving and positive forward thinking.

Represents the District in a professional manner.

OTHER SKILLS AND ABILITIES

Excellent mathematical and typing skills; organizational & decision making skills; handle pressure; personal integrity; bondable; personable and congenial attitude with visitors, school employees and students; competent in all office procedures; flexible; front-office human relations; pursue professional growth; and business awareness of any irregularities. Proficiency in various computer software such as Microsoft Office (Word, PowerPoint, Excel, and Outlook), Adobe Acrobat, Internet, etc. Knowledge of various office machines (i.e., copy/fax/scan machine, ten key, etc.). Ability to answer multi-line telephone.

WORK ENVIRONMENT

The primary work environment is in an office environment that regularly requires employee to sit for extended periods of time. Requires reliable, dependable and punctual attendance.
