POSITION SUMMARY: ASPC Staff Accountant for the Smith Campus Center oversees the budgets of both the ASPC and the Smith Campus Center and reconciles invoices with vendors and the College’s Business Office. This position is responsible for the direction and oversight of one employee and all of the activities and services provided by them in the Smith Campus Center office.
Reporting directly to the Director, Smith Campus Center, the ASPC Staff Accountant performs the following essential duties and responsibilities:
  • Maintain, process, implement, review, analyze, and report all accounting and finances for the:
    • The ASPC Office, the Sundry Organizations and the 5-C Clubs (approximately 150, annually), including: Coop Store, Pomona Events Committee (PEC), Sagehen Shuttle, Campus Center Audio-Visual Event Services (CCAVES), KSPC Radio, Studio 47, The Student Life, and the Ballroom Dance Company (CCBDC).
    • Smith Campus Center (SCC), including the Campus Center accounts in the Business Office (i.e., Campus Center, SCC Programming, Campus Life/Orientation programming) and the Pomona Student Union.
  • Coordinate and process office account reconciliations.
    • Audit and verify accounting documents.
    • Reconcile the Balance Sheet accounts.
    • Research and reconcile all account discrepancies.
    • Prepare, reconcile, implement, and report year-end activities and produce the end of the year financial reports.
  • Coordinate office tax reporting tasks.
    • Prepare and report California Sales tax to the State Board of Equalization.
    • Process & submit end of year 1099’s & 1096’s for ASPC vendors
    • Calculate and record end of the year depreciations of ASPC assets.
    • Prepare yearly reports for income tax preparer.
  • Coordinate office income and expenses processing, reporting, and budgeting.
    • Process and maintain the revenues and expenses for the Coop Store retail operation. ($500,000+ annually).
    • Prepare the Profit and Loss Reports for the Retail Manager.
    • Process and record the budget allocations for the ASPC departments and the 5-C Student Clubs and Organizations. ($500,000+ annually).
    • Work with student club and organization leaders on account balances, income and expense reporting, and reimbursements.
  • Coordinate all SCC-related programming reimbursements.
    • Process, maintain, create, and report the Pomona College purchase cards for the staff (5) in the Smith Campus Center and PSU Officers.
    • Maintain, advise, and process the contracts, the honorariums, and the reimbursements for the PSU and their accounts in the Business Office.
  • Coordinate accounts receivable and accounts payable tasks.
    • Prepare and pay College invoices generated by Business Office (Supervisors Report).
    • Prepare and bill College for Board Plus & Claremont Cash for the Coop Store & Challah for Hunger.
    • Receive cash payments for tickets and other payables associated with activities sponsored by the office and the College.
  • Coordinate clerical and bank-related tasks for the SCC and ASPC offices.
    • Assist front office staff with telephone calls and office visitors, addressing and responding to telephone inquiries and taking messages for other members of the office.
    • Make weekly visits to Bank of America for check cashing / petty cash and change acquisition.Maintain petty cash reserves and monitor expenditures and returns of petty cash funds.($5,000)
    • Prepare weekly bank deposits for the ASPC departments and the 5-C Clubs.
    • Review check requests prior to entry and print checks on both ASPC and Sundry accounts.Reconcile monthly bank statements for both ASPC and Sundry accounts.
  • Maintain SCC and ASPC software systems.
    • The cash register software system, Quadpoint.
QUALIFICATIONS: High School Diploma, GED or equivalent combination of education and experience is required. Bachelor’s degree or some college in accounting, finance, bookkeeping or related field is strongly preferred. A minimum of 3 years of general office accounting experience with increasing responsibility at an academic institution is preferred.

ADDITIONAL POSITION DETAILS: Full-time non-exempt benefits eligible position. The salary for this role is between $22.97-$27.80 per hour, with a competitive benefits package. The specific factors that the organization will consider when offering a salary to an individual will include education, training, prior experience, and performance in prior role. All staff positions are ineligible for visa or permanent resident card sponsorship. As a California employer, Pomona College requires all employees to be residents of California.
REQUIRED HOURS: The regular hours for this full time position are 8:00 a.m. to 5:00 p.m., Monday – Friday, except during the designated summer period when office hours end at 4:30 p.m. Overtime, holiday, weekend and evening work hours may be required. Regular hours may vary due to needs of the College or division.
