SUMMARY

Assists with administrative and cashier duties in the Service departments by performing the following duties:


ESSENTIAL DUTIES include the following.

  • Be friendly, professional, courteous, and efficient when working with all customers and employees
  • Meet and greet customers in a professional manner, both in person and over the phone
  • Communicate with callers in a professional, friendly, and efficient manner, striving to minimize the amount of time spent on hold
  • Take thorough messages, indicating the callers first and last name, company name if applicable, the time and the message the caller wishes to leave
  • Provide basic information to callers who have general inquires and schedule appointments as needed
  • Ensure that all documents are accounted for during the process of repairing a vehicle and file the completed file
  • Prepare all vendor invoices and assign purchase order numbers as necessary
  • Obtain customer and vehicle data as needed for service advisors, estimators
  • Maintain Customer Satisfaction Index rating comparable to that of the manufacturer or dealership average
  • Establish each customer's method of payment and post all funds received from the repair of a vehicle to the appropriate repair order
  • Obtain customer's signature on repair order; provide customer with a copy
  • Call customer when vehicle is ready and schedule the appointment for the vehicle to be picked up
  • Prepare the funds for deposit by making copies of the invoices paid as well as the checks and currency received as payment for the repair
  • Assist with filing duties and other administrative tasks as needed
  • Attend meetings and trainings as scheduled
  • Perform other duties as assigned

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • 2-3 years administrative and cashiering experience
  • High School diploma or equivalent
  • Possess excellent written and verbal communication skills
  • Ability to read and comprehend instructions and information
  • Ability to work well with the public
  • Professional appearance
  • Excellent oral and written communication skills

CERTIFICATES, LICENSES, REGISTRATIONS

Must have a valid Guam Driver’s License.
