Senior Specialist, Business Office
American Public Education, Inc.

The Senior Specialist, Business Office manages workflows and handles processes that include: cash processing and application; refund processing and approval; account maintenance and reporting; reconciliation; user acceptance testing; research inquiries and customer service. This role trains and provides input regarding new employees and performance of team members. This position requires excellent customer service and problem solving skills.

Responsibilities:

  • Manages workflow of Specialists of all processes; ensuring daily, weekly and monthly goals are met within established service level agreements.
  • Approves refunds of various pay types (ACH, credit card, check, etc.) to education offices, students, and various lenders, including financial aid funds.
  • Provides input on, and at times coordinates, Specialist training, reviews, and work performance. Communicates workflow trends to the Manager, Business Office.
  • Assists Specialists with collection, processing, and posting of payment information to include credit card, electronic funds transfer (EFT), and check payments as well as refund processing.
  • Assists with and reviews daily reconciliations of cash and accounts receivable transactions.
  • Maintains student accounts.
  • Works with customers on any escalated items.
  • Suggests and implements process improvements.
  • Assists with research and clean-up to include past due invoices and payment issues.
  • Keeps current standards of procedures and Sarbanes-Oxley narratives.
  • Participates in user acceptance testing of system enhancements and projects, including annual reporting.
  • Works closely with, and provides back-up for the Manager, Business Office on all processes.
  • Ensures compliance with the Sarbanes Oxley Act (SOX) and Department of Education guidelines.
  • Assists in compiling of audit support for internal and external auditors.
  • Performs other duties as assigned.

Requirements:

  • Experience working in accounts receivable maintenance.
  • Strong attention to detail.
  • Ability to provide excellent customer service to a diverse population.
  • Ability to work in a team oriented environment.

  • Demonstrated ability to work independently with minimal supervision.
  • Ability to handle escalated issues calmly and appropriately and to take initiative to resolve problems and offer solutions.
  • Ability to know where to find answers and to understand referral processes and procedures.
  • Demonstrated positive work ethic, attitude, and leadership qualities.
  • Advanced problem solving skills.
  • Bachelor’s degree is preferred.
  • Two (2) years of full time accounts receivable experience is required.
  • Experience with Windows based applications (specifically Excel) is required.
