Wayfair, the largest online-only retailer of home furnishings and housewares in the United States, has an immediate need for an Executive Assistant to manage the day-to-day activities for members of our Marketing Leadership team. This is an amazing opportunity for the right detail-oriented individual to help support our marketing leaders, drive cross-functional collaboration and be a key contributor to the culture of the team.

Wayfair’s team of Executive Assistants support and manage the day-to-day activities for senior leaders across the organization. These activities include, but are not limited to, scheduling and coordinating meetings & events, handling travel arrangements, performing personal tasks and act as a liaison for visiting executives and large corporate investors. This is a unique and highly-visible opportunity for someone who is looking to continue their career as an executive assistant and make an impact on the team.


Key Responsibilities

  • Day-to-day coordination for the leaders you support
  • Proactive calendar management, with the ability to see around corners and prioritize meetings, remove scheduling conflicts and collaborate across the team to help drive efficiency
  • Coordinate on-site meeting logistics
  • Support your leaders with travel arrangements, both international and domestic.
  • Interact with key internal and external stakeholders, investors and other C-Level individuals in a professional manner
  • Ensure that your leaders business expenses are submitted in a timely manner
  • Be an advocate for the team to people outside the company, including marketing partners.
  • Act as point person for visiting executives and large corporate investors
  • Be a reliable resource for your leader as ad-hoc meetings or activities arise
  • Bring a one team mentality, and act as a back-up for other admins as needed

Qualifications

  • 4+ years of experience as AA/EA for senior-level executives
  • Ability to be assertive and give push-back as needed
  • Meticulous attention to detail and strong planning and forward-thinking capabilities
  • Demonstrated ability to anticipate needs and situations before they are fully developed
  • Advanced proficiency in Google Enterprise Suite tools (calendar, mail drive, docs, sheets, slides, meet)
  • Excellent written, verbal, and presentation skills
  • Extremely high level of discretion pertaining to confidential information
  • Flexible and able to handle ad hoc issues that may arise outside of core business hours
  • Bachelor’s Degree
