EXECUTIVE ASSISTANT III Department of Commerce

The Executive Assistant’s (EA) responsibility is to support our Senior Executives and Associate Directors, Deputy Director, and Director, as needed, in a timely and professional manner and interfacing with all divisions and sections of the US Marshals Service, while performing a broad range of tasks. The Executive Assistant will have the ability to work independently on projects, from conception to completion, exercise intelligent judgment with little supervision while exercising a high degree of confidentiality and must be able to work under pressure when needed while handling a wide variety of activities and confidential matters with discretion.

The successful candidate will be one who is comfortable working in a dynamic, fast paced roll-up-your sleeves and team focused environment while managing with precision the most intricate of details.

Intuitiveness, maturity, tact, critical thinking, and professionalism are crucial to being successful working within US Marshals Service’s high energy executive team environment.

Responsibilities:

· Coordinate and manage daily calendars

· Plan and execute all aspects of appointments and events

· Act as the primary point of contact to represent executives with their internal and external customer base

· Manage phone calls and emails

· Make travel arrangements and travel plans, as well as execute all activities within the automated travel system

· Prepare documents for meetings, to include agendas, slide decks, handouts, meeting notes, etc.

· Research and follow-up on issues and concerns addressed to executives including those of a sensitive or confidential nature

· Keep executives well informed of upcoming commitments and responsibilities

· Compose, draft, edit and prepare correspondence such as letters, emails, memos, etc.

· Appropriately process and route documents

· Follow-up on contacts made and support the cultivation of ongoing relationships

· Consistently follow-up on assignments, projects and requested appointments

· Manage special projects from start tocompletion

· Organize projects and ideas using MS Excel or other compatible software

· Assist with analysis of data and metrics in preparation of reports and briefing materials

· Coordinate VIP Visits and other specialty services that support US Marshals events

Qualifications and Requirements:

· Bachelor's degree

· Experience working in a law-enforcement agency or law-enforcement environment (preferred)

· 5+ years of experience supporting Senior Level Executives (VP, CFO, COO, President, CEO)

· Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

· Experience doing outreach on behalf of executive/management teams

· Experience with report generation and data analytics

· Ability to multi-task in a fast-paced environment

· Strong interpersonal skills and the ability to build relationships with staff, external partners and donors

· Superior written and verbal communication skills

· Ability to be effective independently

· Proven ability to handle confidential information with discretion

· Forward-looking thinker, who actively seeks opportunities and proposes solutions

· Experience in internal and external communications, partnership development, & fundraising

· Proficient in Microsoft Suite and Social Media

· Have initiative in suggesting and completing new and ongoing projects

Experience:

· Level III – Executive Support 8-10 years

Education:

· Level III – Bachelor’s degree in associated career field or 15 years of experience equivalent
