Southeastern Oklahoma State University's department of Academic Advising and Outreach Centerinvites applications for the position of Secretary.

SUMMARY

This position provides administrative and budget support to the Director of the Center for Student Success and the Center for Student Success departments – Academic Advising & Outreach, Learning Center, Freshman Programs, and the Native American Institute. This position also assists the Online & Distance Advising Center and the professional graduate advisors.

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Manage all purchasing, travel claims, and budgets for the departments in the Center for Student Success

· Provide administrative support to the Director of the Advising and Learning Centers, and the Director of the Native American Institute.

· Serve as receptionist for the Center for Student Success by receiving incoming phone calls, answering questions, scheduling advising appointments, and managing the email inbox.

· Maintain and oversee the advisor/advisee spreadsheet for the Academic Advising and Outreach Center.

· Work with the Admissions Department, the Registrar’s Office, and various departments on campus to assign incoming students to the appropriate advisor.

· Manage, train, and maintain paperwork for the student staff in the Academic Advising and Outreach Center.

· Assist the Director of the Learning Center with administration of CLEP tests, proctored tests, and accommodated tests, as needed.

· Provide logistical support including assistance organizing and executing Freshman Program events (Freshman Convocation, Freshman Success Reception, Top Ten Freshmen, etc…)

· Be cross trained with the secretary for the Online and Distance Learning Center.

· Other duties assigned by the Director of the Center for Student Success/Native American Institute.

3. Relationships with Others: The employee works effectively and relates well with others including superiors, colleagues, and individuals inside and outside the University. The employee exhibits a professional manner in dealing with others and works to maintain constructive working environment.

4. Safety: Employee works safely, attends safety training offered/required, and follows appropriate safety rules and regulations. In relation to level of NIMs training completed, participates in incident management preparation, and performs incident duties as assigned.

MINIMUM EDUCATION, TRAINING, AND EXPERIENCE

REQUIRED: Detail-oriented; high school diploma and 2-3 years clerical and data entry experience/receptionist experience; ability to work in an environment with constant interruption; ability to communicate effectively orally and in writing; strong interpersonal and customer service skills; ability to work with a team. Advanced typing/keyboarding/PC skills to perform typing, budget database/spreadsheet development/entry experience; proficiency in using MS Outlook, MS Word, and MS Excel; proficient with office machinery; ability to supervise student staff.

PREFERRED: Successful completion of 1-2 years of post-high school coursework. Previous experience overseeing multiple professional budgets. Previous experience working with grant funding.

Salary will be commensurate with qualifications and experience. The preferred start date is March 27, 2023. Review of applications will begin immediately and continue until filled.
