POSITION SUMMARY: Provide administrative support to the center management team in support of organization and program outcomes.

DUTIES AND RESPONSIBILITIES:
1. Provides administrative support for the center staff including handling and prioritizing outgoing or incoming phone calls and correspondence (e-mail, letters, packages etc.) and information requests.
2. Handles confidential documents ensuring they remain secure.
3. Drafts and proofreads correspondence.
4. Assists with bookkeeping duties, including but not limited to, processing purchase orders and time sheets.
5. Assist in planning events.
6. Performs reception duties including answering phones and greeting visitors.
7. Gathers and keeps records such as meal counts, in-kind, staff training and volunteer records.
8. Maintain files and records per policies and Head Start regulations.
9. Runs errands.
10. Monitors office supply inventory and ensures office equipment maintenance.
11. Protects the safety of children by implementing active supervision techniques to ensure no child is left alone or unsupervised at any time. Ensures safety procedures are followed when children are picked up from the center.
12. Assist with the mobilization and documentation of matching/in-kind funds.
13. Fills in on a temporary basis when a staff member needs to leave the classroom for a short duration.
14. Assists with playground supervision, bus loading/unloading and bus monitoring as needed.
15. Works in cooperation with supervisor to develop and document progress on professional development plan. Actively engages in professional development activities to increase qualifications in accordance with Corporation's Core Values.
16. Work may require the flexibility to stay until all children have left the program.
17. Translates when necessary.
18. Participates in staff meetings, committees and training sessions.
19. Perform all other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
This position has no direct supervisory duties but is expected to train or explain work procedures to others.

ROLE QUALIFICATIONS:
Education and Experience Requirements:
  • High school diploma or G.E.D. is required.
  • A Technical Diploma in office administration is preferred.
  • Must be able to get certification for CPR and First Aid after hire and recertify as required.
  • Minimum of 1 year of experience with a high school diploma.
  • Minimum of 6 months of experience with at least a Technical Diploma.
Skills and Abilities:
  • Microsoft Office products and on-line client management systems
  • Ability to communicate effectively in writing.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures and terminology.
  • Ability to exercise tact and discretion in all employee and customer interactions.
  • Ability to work independently and maintain professional boundaries and confidentiality.

Background Checks:
  • All employees are subject to both a pre-hire and an annual background check. Specific rules by Line of Business will indicate whether a state or federal fingerprint background check (or both) is required and the frequency. A fingerprint background check may suffice for a regular background check. Additional background checks may be required such as the Child Abuse and Neglect State Registry, and the Sex Offender Registry.
Positions that Require Driving:
  • Telamon Corporation/Transition Resources employees that are required to drive a personal vehicle for work-related duties are to meet the auto insurance liability requirement. The minimum limits required are $100,000 each person bodily injury, $300,000 each accident bodily injury and $50,000 property damage. The insurance liability requirement covers use of an employee's personal vehicle.
  • Telamon Corporation/Transition Resources employees that drive a company-owned/rental vehicle must maintain a satisfactory annual motor vehicle record check.
  • Must have own transportation, a valid driver's license, and vehicle insurance.
