Position Summary:
The School Programs Assistant (SPA) is a part-time, limited-term administrative support role in the High Museum of Art’s Education Department. The SPA will work closely with the Head of School and Teacher Services, the School Tours and Support Coordinator, and schools to schedule engaging and accessible programs for prekindergarten through 12th grade students and teachers. The SPA will support the school fieldtrip program and teacher programs in terms of sales, booking, scheduling, and reporting.
ESSENTIAL DUTIES & RESPONSBILITIES:
Scheduling: Logistics and Communications: 75%
  • Schedule school tour fieldtrips and teacher professional learning seminars in collaboration with the School Tours and Support Coordinator using Tessitura and Microsoft Office Suite
  • Prepare confirmation materials and invoices for educators and school bookkeepers; work closely with High Museum and Woodruff Arts Center accounting departments in reconciling payments from schools and reimbursements of Art Access bus transportation funds to schools
  • Build and maintain relationships with schools, teachers, bookkeepers for ongoing success of program through timely response of emails, phone calls, and occasional meetings with teachers and school contacts
  • Work with the Coordinator of Docents and Interns, the Coordinator of School Programs, and the Guest Relations team to ensure the successful arrival of buses, ticket processing, lunch, art-making workshops, and tours for students, teachers, and chaperones participating in the program
Reporting: 25%
  • Generate daily, weekly, monthly, yearly data pulls of school fieldtrip and teacher professional learning programs for museum leadership team in relation to overall tracking and grants-related reporting
  • Create, report, and archive post-visit communications, including post-visit surveys, emails, photos, and documentation related to school visit programming
  • Other duties as assigned
EDUCATION & EXPERIENCE:
  • BA, MA/MFA, or M.Ed in art history or education and/or two years comparable work experience
  • Experience working within or coordinating with preK-12 schools highly desirable
SKILLS & ABILITIES:
  • Excellent communication skills, both written and verbal.
  • Enthusiastic about interacting with and assisting educators and schools.
  • Strong interpersonal and communication skills. Ability to interact professionally, courteously, and empathetically with other staff and visitors is essential.
  • Strong basic math skills: critical thinking and problem-solving skills required.
  • Demonstrated ability to interact in a collaborative manner with other departments and teams.
  • High attention to detail, e.g., in utilizing computer software, in self-monitoring the completion of daily tasks, and stakeholder follow-through.
  • Strong computer skills, proficiency with Microsoft Office Suite, Zoom, and ability to navigate multiple platforms smoothly.
  • Experience in Tessitura CRM preferred, but not required.
  • Ability to work independently and with a variety of people. Being a great collaborator is critical.
  • Proficiency in Spanish preferred but not required.
