JOB SUMMARY

The Registrar provides registration and administrative support to the school program by participating as building pupil accounting audit team partner and supporting the school administrative by maintaining accurate school/student information. This position reports to the principal or assigned staff.

ESSENTIAL JOB FUNCTIONS

Participate on building master schedule team with head counselor, and administrative staff and District Registrar to create efficient school’s master schedule(s) Record all student daily attendance
Work with Student Information Department to understand scheduling process including the Scheduler using the school’s master schedule
Organize and implement scheduling process at building to include distribution of scheduling materials, such as curriculum guides, to students and building staff
Work with District Registrar to coordinate of data collection of scheduling materials such as student course request
Schedule individual students as needed on TR outside the “main” scheduling process
Work with District Registrar to document and develop an improved mass scheduling process for individual buildings
Provide accurate interpretation and input of non-GRPS transfer credits into the district’s student record database
Provide accurate and timely input of equivalent credits from Team participation, monitoring of credit waivers, summer school grades and credit accumulation
Assist with accurate and timely notice to students, parents, staff of students at risk re: credit accumulation and graduation requirements not being met
Accurate and timely processing of current grades (report cards) working with teachers, substitute teachers, etc. for timely notice of accurate grades to parents
Conduct periodic review/audit of student credits and report to students, parents and responsible for working with central office regarding student admissions, communicate with appropriate contacts regarding student admissions
Provide copies of transcripts to students as requested
Process CA60 files for incoming, graduating and exiting students
Coordinate the registration of incoming students including input enrollment information and transfer credits
Participate as a member of the student orientation team
Interact with co-workers, administration, students, parents, and the community in positive, supportive, and cooperative ways
Participate on district teams re: scheduling and transcript issue
Responsible for working with the school volunteers, to ensure the district policies and procedures are implemented
Other duties as assigned

QUALIFICATIONS

Education and Experience:
High School Diploma or equivalent
Some data reporting experience
Working knowledge of Windows based programs (Microsoft Word & Excel)

Preferred Qualification:
Previous registrar experience

Knowledge, Skills and Abilities:
High level of interpersonal skills to handle sensitive and confidential situations and documentation
Demonstrated ability to problem solve (listen, identify problem and collaboratively problem solve)
Demonstrated ability to make good decisions that are consistent and fair within contractual guidelines and Board policies
Good spelling, grammar, and written communication skills
Excellent telephone etiquette and oral communication skills
Ability to deal with high stress situations, prioritize multiple tasks, work independently, and make independent decisions as needed

PHYSICAL DEMANDS

The work is medium work which requires exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects. While performing the duties of this job, the employee is required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, talk, hear (in a quiet or noisy environment). Specific vision abilities required by this job include close vision, distance vision and ability to adjust/focus.

WORK ENVIRONMENT

The noise level in the work environment is usually loud to moderate.
