GENERAL DESCRIPTION


The Recruiting Sourcing Specialist will provide administrative support to keep the recruiting, interviewing, and onboarding process running smoothly. They will support the recruiting team in effectively sourcing candidates to recruit. They will be the Subject Matter Expect on the Applicant Tracking System (ATS). They will know the job market. They will analyze internal and external data to help ensure success. They will lead and behave according to the Potbelly Values and uphold the Potbelly Advantage.

Responsibilities

  • Will perform administrative duties related to the Applicant Tracking System (ATS) to include, but not limited to managing access to the ATS, updating the reporting manager drop-down list, the creation and editing of positions, offer letters, and onboarding documents, as well as the overall functionality of the system.
  • Will manage the ATS Support email and provide needed support related to training and troubleshooting. Doesnt just solve the problem but seeks to educate while solving. Can redirect as necessary to assist users in resolving their problems through the Talent Reef Help Desk and Talent Reef support website.
  • Manages all open tickets in our ATS and provides updates on their status.
  • Manages all open Potbelly IT tickets related to recruiting systems and provides updates on their status.
  • Will manage and update the ATS Quick Reference Guide as needed.
  • Partner with our ATS representatives to understand and communicate any product changes, troubleshoot issues and to assist with the education and rollout of any changes.
  • Verifies and processes sign-on and referral bonuses for bi-weekly payroll cycles.
  • Manages and updates organization charts.
  • Assists with reporting needs from our ATS and HRIS systems.
  • Assists in posting jobs in the ATS and job boards.
  • Works closely with the HRIS Specialist on system user inquiries.
  • Partner with the Recruiting team to determine candidate sourcing needs and conduct sourcing to include: active mining of resume databases, competitive research, networking/cold calling, job fairs, soliciting referrals from Potbelly employees, partnering with niche organizations, social media and colleges/universities.
  • Work within the Applicant Tracking System (ATS) to manage flow of resumes for assigned searches. Select and screen candidate resumes appropriate to the position qualifications.
  • Schedule and coordinate set-up of Potbelly job fairs, to include advertising, email blasts to candidates.
  • Manages Potbelly website, job boards, niche sites, and college websites with Potbelly job postings.
  • Manages Social Media recruitment.
  • Investigate recruitment opportunities in new markets (competition, hospitality schools, local websites).
  • Seeks alternative sourcing avenues to create a future pipeline of candidates.
  • Assist in executing college recruiting, career days, and presentations.
  • Has a focus on diversity, equity, and inclusion (DE&I.)
  • Coordinate scheduling of candidate interviews. Arrange travel and accommodations for candidates, as needed.
  • Coordinate, conducts, and assists with on-boarding new hires and sending out welcome packets, as appropriate.
  • Update recruitment documents and training materials, as needed.
  • Help execute Potbelly recruitment branding internally and externally.
  • Support shops with recruiting requests, as needed.
  • Attend HR/TA team meetings, TA team 1:1s, and 1:1s with the Director of Talent Acquisition.
  • Gathers information, analyzes results, and recommends action.
  • Update appropriate reporting.
  • Maintains strict confidentiality related to sensitive information.
  • Other duties as assigned.


ESSENTIAL PHYSICAL FUNCTIONS

  • Must have the ability/stamina to work a minimum of 45 to 55 hours a week.
  • Will frequently reach, feel, bend, stoop, carry, finely manipulate and key in data.
  • Must be able to engage in problem-solving skills to help identify and solve potential issues in the field.
  • Must be able to communicate heavily through telephone, video conferencing, e-mail, instant messaging, and in-person communications.


EXPERIENCE AND EDUCATION

  • Bachelors Degree in Human Resources, Business Administration or closely related field or combination of education and experience preferred.
  • PHR or SHRM-CP professional certification in Human Resources preferred.
  • Restaurant experience preferred.
  • Knowledge of or experience in recruiting.
  • Experience with Microsoft Office products.
  • Proficient with the use of an Applicant Tracking System (ATS).
  • Proficient with the use of an Human Resources Information System (HRIS).
  • Excellent written and verbal communication skills and strong interpersonal skills.
  • Strong time management skills and the ability to work under deadlines.
  • Strong organizational skills and the ability to handle a number of projects at once in a timely and detail-oriented fashion.
  • Strong self-confidence in dealing with a variety of personalities and situations.
