Job Description

The Receptionist position will be the first point of contact for visitors to the Virginia Tech Research Center – Arlington (VTRC-Arlington) as a direct report to the Senior Director for DC Region Building Operations with a dotted line to the Executive Briefing Center manager. It is a highly visible position that interfaces with individuals within and external to the university. This is a critical role for VTRC-A requiring punctuality, professionalism, and reliability. In addition, he/she must be organized, have strong interpersonal skills, and provide outstanding customer service. He/she must also be comfortable managing the reception area.
Responsibilities include:


  • Manage the reception desk and adjacent spaces by opening and closing the public reception area, handling mail and package distribution (including campus mail shipments), tracking lost packages for designated units, maintaining a clean and professional work environment, etc.
  • Greet all incoming visitors and connect them with building tenants, answer the telephone, refer callers as appropriate, issue guest fobs in-line with building policy, and provide general information.
  • Serve as the primary contact for scheduling conference rooms on floors 3-6 utilizing EMS (space management system).
  • Maintain and update the directories and any other assigned databases.
  • Assist in the coordination of logistical support for business meetings and events hosted in the Executive Briefing Center (2nd floor meeting space) as needed and as directed by the Executive Briefing Center manager.
  • Provide administrative support including general office management, travel logistics, and scheduling for the Senior Director for DC Region Building Operations.
  • Prepare reports regarding for visitors, parking validations, and other departmental information; maintain records and documentation as necessary.
  • Coordinate office supply orders, assist with employee recognition activities, and assist Facility Operations Manager with room cards or other signage as needed.
  • Serve as an alternate floor warden.
  • Other duties as assigned.

Required Qualifications

  • Demonstrated experience providing administrative support in a professional and diverse office environment;
  • familiarity with MS Office Suite;
  • timeliness and accuracy with the ability to manage competing priorities;
  • excellent customer service skills and the ability to maintain composure and confidentiality.

Preferred Qualifications

  • Experience providing front-line support in an office and/or university setting;
  • experience composing/editing correspondence and reports with attention to detail;
  • experience with data entry and database updates;
  • experience with meetings and event support.
