Position Summary

Sanitas is looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for Sanitas Corporate. Our Receptionists duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking skills are essential for this position. Ultimately, a Receptionists duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

Essential Job Functions

  • Greet and welcome guests as soon as they arrive at the office, and direct visitors to the appropriate person and office.
  • Answer, screen and forward incoming phone calls.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., forms and brochures).
  • Provide basic and accurate information in-person and via phone/email.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
  • Receive, sort and distribute daily mail/deliveries.
  • Keep updated records of office expenses and costs.
  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations and vouchers.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Update calendars, schedule meetings, and organize events through platforms like WebEx, Teams, and Google.
  • Organizing events for corporate office and clinics, caterings, activities, surveys, registrations.
  • Manage credit cards of the company as well as completed credit card requests and monthly statements.
  • Manage uniform vendors for all south Florida regions.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job the employee is regularly required to work standing up, walk, use hands to operate tools and equipment and must be able to exert regularly up to 10 pounds of force, frequently exert 30 pounds of force and occasionally exert 50 pounds of force to constantly perform the essential job functions. The employee will be frequently required to reach with hands and arms, bend, balance, kneel, crouch, crawl, push, and pull. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. The employee is subject to environmental conditions; protection from weather conditions but not necessarily from temperature changes. The worker is subject to noise; there may be sufficient noise to cause the worker to shout in order to be heard above ambient noise level.

Required Education and Experience

  • Bilingual in English and Spanish
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite or Google Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service skills
  • High school degree; additional certification in Office Management is a plus
