This position will be part time Saturday, Sunday and Monday from 10am - 4pm with additional days and/or hours added as needed. The Real Estate Sales Assistant will be an employee of Sunriver Resort, L.P. The following description outlines the role. Please note that this description may not include all of the responsibilities of this role but provides a snapshot for the daily work and expectations.

The Real Estate Sales Assistant will always conduct him/herself in a manner which supports the Core Values of Sunriver Resort: Trust, Commitment, & Open and Honest Communication. The Real Estate Sales Assistant shall strive to provide exceptional service to both internal and external guests at all times. S/he will be responsible for exemplifying the Sunriver Resort Culture as well as promoting Sunriver Resort as both the Destination and Employer of Choice!
Responsibilities:
Sales Support
  • Oversight of Lake House sales gallery and office, and the Forestbrook (or other) model home including cleanliness and overall appearance, signage, sales displays, etc.
  • Manage office supplies and copy/print/scanning equipment, including printing and stocking of sales tools, handouts, flyers, etc.
  • Greet and welcome guests to the sales gallery and model home, facilitating introductions to sales team members
  • Model Home – be the point of contact for vendors and maintenance; coordinate staging, repairs, cleaning, and access.
  • Communicate with customers, clients, brokers and service providers in a professional and friendly manner
  • Act as an advocate for the project and support the sales team to achieve their goals
  • Maintain cleanliness, fuel and service of the company vehicle.
  • Attend sales meetings and other meetings as directed
  • Manage credit card transactions for all sales and marketing related expenses – work directly with Accounting Dept and Development Administrative Assistant to ensure all transactions are accounted for accurately on a monthly basis.
  • Provide invoice processing support for all sales and marketing related expenses.
  • Facilitate ordering and delivery of client closing gifts to ensure professional presentation and timely delivery upon closing of a transaction.
Marketing Support
  • Participate in marketing meetings and coordinate/implement marketing tasks and initiatives as directed by sales team
  • Work with outside vendors to order and procure all necessary marketing collateral, signs and other materials as directed
  • Plan, manage, coordinate and participate in all public and broker events and open houses and other special marketing events as needed
  • Coordinate placement of marketing and event signs
General Job Functions
  • Communicates all pertinent information to the Realty team
  • Instills a calm, organized approach in all stressful situations
  • Responds to any applicable guest, owner or broker request as needed
  • Offers warm and sincere welcome/farewell for all guests of Sunriver Resort/Realty including use of guest name & good eye contact with each guest
  • Maintains an up to date working knowledge of all resort and Caldera Springs community amenities as well as any special events
  • Interacts with resort staff in a professional manner, assisting other departments with necessary information
  • Maintains a professional demeanor and attitude
  • Remains alert, courteous and helpful to guests and colleagues at all times
  • Follows set office procedures
  • Acts with responsibility towards all company property, supplies and equipment
  • Maintains a professional appearance. Follows all Sunriver Resort dress code standards
  • Maintains constant awareness of safety issues, (i.e. broken glass, frayed electrical cords, leaks, broken locks and suspicious persons). Reports all safety incidents to on-duty supervisor.
  • Follows the required procedures for handling, cleaning, disposing, or moving of objects/materials and/or the clean-up of blood, infectious materials, or body fluids containing blood in accordance with the OSHA Blood-borne Pathogen Standards
Qualifications:
  • High school diploma or equivalent required
  • Prior experience as a receptionist, interaction with the public and/or customer service required
  • Relevant experience in an administrative or sales support role
  • Knowledge of business equipment, MS Office (Word, Excel, Outlook, PowerPoint) and proficient in industry applications, including electronic signature software
  • Ability to work weekends, evenings and holidays
  • Must be eligible to work in the United States
  • Must have a valid driver’s license and meet company driving standards
  • Must have a passion for creating an exceptional experience for all clients and guests
